    Job Description

    **Job Title:** COUPA System Administrator

    **Location:** Corporate

    **Department:** Strategic Sourcing

    Job Summary** **:

    The COUPA System Administrator is the go-to expert for system administration, responsible for ensuring system integrity, user adoption, and optimizing the platform for maximum efficiency and value. This role involves close collaboration with Procurement, Finance, and AP teams, focusing on user support, system configuration, and knowledge sharing to build internal capabilities. Manages user accounts, credentials, permissions, integration test scripts and access rights. Oversees system releases and troubleshoots and resolves issues. Manages Wawa’s contract management system, creates actionable reports to ensure compliance with corporate policies and to enable business owners to effectively manage their contracts.

    Principal Duties:

    + Serve as the technical subject matter expert (SME) in Coupa and is responsible for the day-to-day management of the system and for the timely escalation, routing and resolution of issues in accordance with the defined issue triage and resolution process.

    + Oversee and test system releases and enhancements, research problems and provide appropriate responses to Coupa. Responsible for reviewing Coupa’s releases and determining potential impacts. Maintain complete documentation on system processes and procedures.

    + Oversee the contract management process and ensure the system is configured to support the corporate purchasing policy.

    + Manage the approval flow, storage, and maintenance for all corporate contracts within Coupa. Train and assist all corporate departments within the contract management system and manage the day-to-day activities.

    + Responsible for the reporting process, metrics, and communications to maintain compliance for all corporate contracts by distributing actionable reports to all corporate support teams.

    + Monitor system performance and partner with Applications Management team to resolve issues and increase uptime, as needed. Troubleshoot issues impacting middleware systems integrated into Coupa with appropriate IT teams.

    + Manage user accounts, assign and updates security permissions, collaborate with the People team to ensure Workday feed is in sync with Coupa.

    + Responsible for Coupa Application Tier 2 support in the ServiceNow ticketing system overseeing performance metrics, identifying trends, and ensuring timely and efficient resolution of all tickets.

    + Develop and distribute custom Coupa spend reports and metrics as requested and provide advance analytical training when needed.

    + Identify and recommend system improvements and optimizations to drive efficiencies within the end to end procurement process.

    + Collaborate closely with the vendor master team during vendor onboarding and provide continuous improvements on onboarding process.

    + Proactively identify cost-saving opportunities across the business by leveraging Coupa Advantage.

    + Lead monthly user training sessions for new associates as needed for their positions.

    Basic Qualifications:

    + Prior experience in a post-implementation support role of Coupa (or a like system)

    + Preferred degree in Business, Supply Chain, Information Technology or equivalent work experience

    + Proficient in SAP & Coupa and/or similar system is preferred

    + Advanced Excel & analytical skills required

    + Demonstrates general business acumen

    + experience with system configuration, approval workflows, user roles, and determining key integration points.
