    About You and this Role

     

    Provides general administrative support to a leader or department. Exercises discretion and independent judgement in managing flow of work. Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.

    Responsibilities

    + Provide administrative support to Poly 3 team members; e.g. set up and manage Teams permissions and documents, order supplies, act as Cintas uniform focal point, manage team/leader calendars, and arrange meetings and travel.

    + Provide document administration management, including File Share Management (records retention, add/remove documents), Web EDMS management (moving documents, linking documents, monthly document review reporting), physical library management (add/remove documents, records retention), track Procedure Use Metrics, and manage the Procedure Improvement Process (process and link updated procedures). MOC reviewer for new Documents.

    + Assist with planning and execution of local meetings and department events (including teleconferencing, Teams meetings, and team-building events).  Also responsible for finalizing meeting arrangements for on- and off-site meetings, assist with agenda preparation, and recording and distributing meeting minutes

    + Responsible for processing and maintaining up-to-date personnel information and permissions (e.g. distribution lists, on-call lists, Plastics Gold access, building badge access, onboarding new employees/contractors, etc.).

    + Effectively network with all admins within Texas Operations to meet deadlines, complete projects, implement global work process improvements, share key learnings, and provide back-up support assistance when needed.

    + Participate as an active, disciplined team member.  Work both independently and in cooperation with other team members to complete projects and assignments in a timely manner.

    + Continuously develop personal skills in tools and technology used by Dow for business processes. Assist the organization by providing guidance on how to best use such tools as they evolve.

    + Demonstrates good problem-solving skills. Capable of prioritizing competing requests successfully and multi-tasking. Demonstrates comfort and skill when using technology. Strong organization and time management skills. Good planning skills and ability to anticipate needed resources. Able to adapt to change.

    + Demonstrates good problem-solving skills. Good team player and a fixer. Helps troubleshoot issues and serves as a point person for questions or guidance. May act as department focal point with external vendors, service providers, etc.

    + Continuous improvement within work processes and systems.

    + Completes expense reports for self and others, and submits on behalf of leader and/or team. Monitor and track expenses against budgets; resolve discrepancies and provide reports to cost center owner or budget manager

    + Has a bias for action. Maintains productivity during times of change

    + Builds appropriate rapport and effective relationships within Dow.

    + Understands and responds to others’ concerns. Able to compile diverse opinions to help resolve issues. Targets written and verbal communications to difference audiences clearly and concisely.

    + Alerts others who are affected by his/her work when or before problems arise. Serve as a helpful and positive presence in the workplace.

    Qualifications

    + A minimum of a High School diploma or GED equivalent.

    + A minimum of 3 years of relevant experience.

    + Must have a valid US Driver’s License.

    + Experience with Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

    + A minimum requirement for this U.S. based position is the ability to work legally in the United States.  No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.

    Preferred Qualifications

    + An associates degree or higher education.

    + Proficiency in working in a collaborative team environment across businesses and functions.
