    Primary Functions:

    Administrative Operations: Oversee administrative functions to ensure efficient daily operations. Review and improve job methods to streamline workflow and reduce costs. Responsibilities include drafting business correspondence, managing confidential and general office files, and scheduling meetings, conferences, and travel arrangements. Provide support to administrators in their involvement with professional organizations, which may include preparing meeting agendas and arranging meeting facilities. Special projects may also be assigned as needed.

     

    Financial & Budget Management: Develop, review, and manage operational budgets; process and track purchases, budget transfers, and travel requests. Oversee the ordering and maintenance of office supplies and equipment. Monitor and assist with grant budgets and financial reporting. Additionally, support grant preparation and may serve as the primary contact for grant-related activities.

     

    Student Affairs & Records Management: Partner with administrators and staff to resolve daily issues and concerns that arise with students. Manage confidential student records, including disciplinary actions, complaints, and CARE documentation. The position requires maintaining expertise in college systems, such as the student information system and Maxient, and also supports staff in obtaining and utilizing enrollment and retention data.

     

    Event Planning & Support: Take a lead role in planning and executing Commencement, including providing on-site support on the day of the event. Assists with coordinating and supporting other divisional activities and events.

     

    Reporting & Data Management: Prepares annual and ad hoc data reports as requested. Coordinate weekly and monthly updates related to enrollment and retention data.

    Secondary Functions:

    + Represents administrators at meetings, when requested

    + Serves as backup support to the Vice President in the Executive Secretary's absence

    + Performs additional duties as assigned by the Academic and Student Affairs Administrators

    Job Requirements:

    Required Qualifications:

    + Must currently hold the Monroe County Civil Service title of Management Assistant or be reachable on the current eligible list for this title; OR

    + Graduation from high school or possession of an equivalency diploma, plus EITHER:

    + A. Five (5) years of paid full-time or its part-time equivalent professional* experience**, responsible for project or program management***, office management***; or program or project development and implementation; ****OR,

    + B. Graduation from a regionally accredited or New York State registered college or university with an associate's degree, plus three (3) years of professional experience as defined in A above; OR,

    + C. Graduation from a regionally accredited or New York State registered college or university with a bachelor's or master's degree, plus one (1) year of professional experience as defined in A above; OR,

    + D. Any equivalent combination of training and experience as defined by the limits of A, B, and C above. *Professional experience for the purpose of these minimum qualifications does not include secretarial, clerical, reception, or teller-type duties.

    Preferred Qualifications:

    + Working knowledge of Banner or other student information systems

    + Working knowledge of Argos and/or Tableau

    + Working knowledge of Microsoft Tools, including Excel

    + Working knowledge of Maxient

    + Experience assisting students to resolve complicated issues

    + Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

    Additional Information:

    Job Type: Full-Time

     

    Hours: 8:45 am to 4:45 pm, Monday through Friday

     

    Salary: $55,938.96-$71,639.95

     

    Pay Transparency Disclaimer: The posted salary range represents the full salary scale for this position, which includes all pay steps within the range. The starting salary for all new hires is typically at the entry-level figure, as determined by the step placement of the Collective Bargaining Agreement. Progression through the range occurs over time based on established criteria such as length of service and performance. This range is provided to give applicants an understanding of the potential earnings over the course of a career in this role.

     

    MCC offers a Flexible Work Policy for benefit-eligible employees. Types of flexible work arrangements include flextime/staggered shifts, remote work/telecommuting, and compressed work schedules. The availability of flexible work arrangements varies by division, department, and position, based on business and operational needs.
