The Office of Cannabis Management (OCM) is currently seeking two (2) Operations Administrative Specialists to provide administrative support for the Chief Operating Officer (COO) and other division directors that report to the COO.
This position is located in St. Paul and may telework from home two days per week and is expected to be in the office three days per week.
A successful incumbent in this position will be able to:
+ Manage calendars, prepare communications, schedule meetings, develop agendas
+ Independently respond to requests for program information and screen and route calls to other staff members
+ Prepare charts, graphs, slides, and fiscal or budgetary reports
+ Maintain the administrative area of data practices and retention for OCM
+ Prepare and track purchase orders, process expense and travel approval requests, and solve problems related to purchasing
Minimum Qualifications

+ Knowledge of:
+ Accounting principles and practices sufficient to analyze, interpret, and prepare financial information, records, and reports
+ Communications sufficient to present clear and concise explanations of governing rules and regulations in a manner that is understandable
+ Skill in:
+ Database management sufficient to maintain electronic or paper files for efficient organization and retrieval of information
+ Using spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data
+ Word processing to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors
+ Ability to:
+ Accurately input, verify, and edit electronic data sufficient to identify errors, discrepancies, and check for completeness
+ Develop, modify, and evaluate/improve administrative and program procedures sufficient to maintain a successful data retention area
Preferred Qualifications
+ Two (2) years of administrative support experience as an administrative assistant or office manager
+ Familiarity with Minnesota State policies, procedures, rules, and regulations
+ Knowledge or experience with State accounting procedures: budget request processes, expense reimbursement, budget transfer, purchasing requests, etc.
+ The ability to celebrate diversity and a strong commitment to a respectful and inclusive work environment
+ Ability to provide training to others on program policies, procedures, and standards or administrative materials
