Hybrid Role - In office on Monday's
Schedule: Monday- Friday 8:00 AM - 5:00 PM
The Administrative Specialist II provides essential administrative and operational support to the claims department and captive insurance programs. This role is responsible for facilitating and coordinating four captive board meetings annually, ensuring all logistics, materials, and follow-ups are managed efficiently to support informed decision-making.
Key responsibilities include preparing, processing, and distributing certificates of insurance, maintaining up-to-date motor vehicle records, and performing accurate and timely data entry for claims management. The position also oversees daily mail handling, deposits, and the processing of purchase orders using the Ariba procurement system.
The ideal candidate will demonstrate exceptional organizational and communication skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment. This role requires proficiency with administrative systems and a strong commitment to maintaining compliance and data integrity to support the operational needs of the department.

Qualifications
+ Education: High School Diploma or GED, required. Education in basic office procedures
+ Experience:
+ Two years of administrative support experience, required.
+ Administrative support experience, preferred.
+ Additional Skills (required):
+ Ability to effectively communicate with physicians and hospital staff. Ability to use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases; Ability to successfully complete generic and department-specific skills validation and competency testing.Communication: Creates an environment that supports and respects diversity to promote creative problem solving. Communicates the value of activities within the organization and community to gain cooperation and collaborative partnership.
+ Customer Service: Holds staff accountable for customer service standards and ensures service recovery when needed. Ensures staff responds to customers in a timely manner.

+ Digital Fluency: Proficiency with Microsoft Office 365, specifically Excel, Word, Teams, and PowerPoint.
