DESCRIPTION
Job Summary:
Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.
Anticipates to the needs of senior management and manages his/her schedules.
Arranges and coordinates travel arrangements including expense reports and visa/passport requirements.
Gathers, compiles, verifies and analyses information for management' use in documents such as memos, letters, reports, speeches, presentations and news releases.
Facilitates smooth communications between senior management and coworkers and between senior management and external parties such as media, customers, vendors and the public.
Maintains the security and confidentiality of management' records and files.
Monitors, reviews and approves standard expenditures to ensure the activities of the office are conducted within established budgets.
Reports required information on a regular basis as assigned (e.g. monthly).
Performs various tasks using independent judgement and discretion; e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
Act as formal resource for colleagues with less experience.
Completes other activities for senior management upon request and/or as required
Key Responsibilities:

Understands the annual business cycle and anticipates the executive’s needs regarding preparation for and scheduling of activities; manages the executive’s calendar; schedules meetings, calls, and other interactions based on the priorities of the executive; schedules travel; completes expense reports in a timely manner.
Understands business etiquette; interacts and works successfully with senior leaders of Cummins’ customers and suppliers to ensure that customer needs are addressed while balancing an executive’s other responsibilities and commitments; researches solutions to questions and responds independently to email and phone inquiries.
Makes sound choices in ambiguous situations; solves issues with reason and calm in times of crisis. Manages the executive’s email and other correspondence, responding on behalf of the executive where appropriate, forwarding communications to appropriate staff to respond, or bringing the matter to the attention of the executive.
Develops an understanding of the executive’s work style and preferences; assumes responsibilities as requested by the executive.
Uses appropriate tools for required work, including the Microsoft suite and Lotus Notes; ensures that all documents produced for the executive are of the highest quality, accuracy, and completeness.
Knows the appropriate sources for needed data and gathers data for reports and analysis; prepares reports and analyses to assist executive with decision making.
Interacts effectively with all levels of employees throughout the company; works with the executive’s staff to ensure that business decisions are made in a timely fashion while balancing the executive’s other responsibilities and commitments; schedules staff meetings; arranges meeting space or virtual meeting tools; develops staff meeting agendas and ensures that participants are prepared for the meetings; ensures that any follow-up actions resulting from the meeting are documented and completed.
Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; approves transactions; responds to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests; works with finance team to prepare and run financial reports for the executive.
Initiates, develops, leads, and participates in improvement processes; actively participates in self- and team audits and resulting process improvements.
Understands the structure of the organization and maintains a strong network across departments; draws on network to answer questions, solve problems, and successfully execute responsibilities. Demonstrates the highest level of confidentiality in execution of all responsibilities.
Performs other duties as required, to get the job done.
Travel as required by the work.

Education, Licenses, Certifications:
High school diploma, certificate of completion of secondary education or equivalent experience is required
This position may require licensing for compliance with export controls or sanctions regulations.
High school diploma, GED or equivalent required. Must pass typing and other required testing. Administrative Assistant and/or Microsoft Office certifications preferred.
Experience:
Requires significant relevant work experience or specialized skills obtained through education, training or on-the-job experience.
Eight year experience/education requirement accomplished through one of the following: Bachelors degree and at least four years of relevant experience, associates degree and at least six years of relevant experience, or at least eight years of relevant experience required. Three to five years of executive administrative assistant experience preferred.

_ROLE EXPECTATIONS:_
This position follows a hybrid work model, requiring the selected candidate to be onsite in Columbus, Indiana 2–3 days per week.
Occasional travel to Indianapolis, IN and other Cummins locations are possible several times per month.

**Leadership Presence and Resilience** : The Executive Assistant will be representing the supported Stakeholder across the organization and collaborating with multiple Executive Assistants. The ideal candidate must be collaborative, confident, and composed—able to navigate a fast-paced environment, respond constructively to pressure, and recover quickly from setbacks.
**Clear, Consistent, and Confidential Communication** : Strong communication is critical to success in this role. The role requires comfort with regular engagement, including the ability to provide constructive pushback when necessary to support clarity and alignment. This role also involves occasional coordination on personal matters, so discretion and the ability to maintain strict confidentiality across all aspects is essential.
