    Overview

     

    The Cuyahoga County Board of Developmental Disabilities (Cuyahoga DD) is seeking an administrative assistant / receptionist to perform a wide range of administrative, secretarial, and clerical duties, some which may be complex in nature. Provide excellent customer service to visitors to various Cuyahoga DD buildings, callers, and Cuyahoga DD staff who require administrative assistance. The nature of work will include, but is not limited to the following:

     

    + Respond to high priority issues, interact with all parties as needed to resolve issues, following Board practices and ensure proper procedures are followed with respect to the facility as directed.

    + Greet, welcome and link persons/family and personnel from various agencies directly to their support administrator or other Cuyahoga DD staff as needed. Assist persons, families, caregivers, providers and other board staff with routine and specific information. Identify when additional assistance is needed to help ensure a positive experience for the person needing assistance.

    + Process the distribution of Individual Service Plans and other documents and correspondence to individuals, providers and other team members.

    + Manage emergency petty cash purchases by support administrators for individuals served.

    + Manage, maintain and purchase building/office equipment and supplies for entire facility and as needed by CMS staff.

    + Maintain building inventory equipment records, preventative and repair maintenance programs and schedules.

    + Prepare and track purchase orders and direct payment authorizations for CMS staff. On behalf of CMS staff and/or persons and their families, resolve all purchasing and billing issues directly with vendors and other agency personnel.

    + Receive, sort, stamp and distribute incoming mail. Answer phones, take and relay messages. Copy; maintain files of correspondence, reports and related documents.

    + Perform Waiver administration activities as they relate to the position. Document activities in a manner consistent with DODD requirements.

    + Perform other duties as assigned, including assisting with workloads from other areas.

    *** STARTING SALARY** : The salary listed in the header is the minimum salary for any employee hired into Pay Schedule B. It is important to understand that the actual starting salary will be determined based on many factors including the breadth and depth of the knowledge, skills, education and experiences brought by the candidate. It is Cuyahoga DD’s intent to pay each employee a salary that is reasonable and competitive based on the market rate for the position, while also considering not only internal equity but also the budgetary constraints.

    Qualifications

    + High school diploma required.

    + Five years of secretarial experience required.

    + Three years of computer applications experience including word processing and database maintenance required.

    + Education in secretarial or business school beyond high school desirable.
