Duties Description The Operations Assistant coordinates and manages various operations for SUNY's Office for Capital Facilities (OCF). The successful incumbent will work independently on certain tasks and provide support to program staff when needed in other areas. This position is designed for a self-starter and one with an ambitious desire to learn the multiple facets of OCF's roles.Primary duties and responsibilities:- Update, test, and provide implementation support to OCF staff and provide assistance to campuses for AiM, SUNY's property, space and work management system- Develop training documents and videos for use of the myriad of ReADY, AiM, and Go functions, continually updating as new features are made available- Track OCF's operating budget and provide routine updates to OCF leadership- Manage listservs and OCF website content on both the public site and SUNY Blue site- Manage Participating Institution Agreements (PIAs) for various software licensing- Manage the licensing and contract processing for SUNY's systemwide AutoDesk contract- Assist in the coordination of the department newsletter- Process travel requests for departments staff- Manage file retainment and disposal for OCF- Manage data collection and workflow for several programs including Start-Up NY, NY Energy Manager, the Governor's executive orders, capital projects contract fees, special committee assignments and staff hiringOther duties and responsibilities include:- Continually support other members of OCF, and other entities as needed, with role and level appropriate work functions- Assist the Energy Buying Group with weekly and monthly invoices, account reconciliations, and upload of billing information into EnergyCAP as needed
Minimum Qualifications Required Qualifications:- Bachelor's degree in a related field - Excellent written and oral communication skills - High level of computer proficiency in a variety of software programs including MS OfficePreferred Qualifications:- A minimum of one year of related work or educational experience - Previous experience working in a complex multi-disciplinary setting- Accounting or Finance experience- Ability to independently prioritize workload and adapt to rapidly changing priorities
Additional Comments Additional Information:- Must be currently authorized to work in the United States on a full-time basis. VISA sponsorship is NOT available for this position.- Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $51,261-$57,000 annually.- State Title: Staff Assistant (SL-2) and is part of the United University Professions Union. - Excellent Benefit Package which includes: NYS health insurance, free dental and vision coverage, competitive retirement options, tuition assistance, parental leave at full pay, and generous vacation, sick, and holiday time. As with other Capital Facilities team members, the incumbent may occasionally be required to travel for conferences, professional development or other obligations related to the position.
