Job Summary:
As an Office Assistant you will play a crucial role in supporting the efficient functioning of our office operations. This role requires an individual who exemplifies integrity, respect, accountability, and excellence in their work. You will be responsible for a wide range of administrative tasks and will work closely with various departments to ensure a productive and harmonious work environment.
* Safety
* Makes sure all safety procedures are being followed
* Hold employees accountable for working within the rules and proactively identifying and removing hazards
* Reports all near misses, incidents, first aid rendered, or unsafe working conditions to the Plant Manager and Safety Manager immediately without exception
* Administers and models safety in his/her area of responsibility
* Ensures compliance with all applicable OSHA and plant safety standards
* Responsible for the safety and well-being of self and employees.
* Quality
* Responsible for product safety and product quality, and reports product safety and product quality problems to Senior Management or Quality Manager
* Essential Duties and Responsibilities
* Administrative Support:
* Provide general administrative support, including managing phone calls, emails, and correspondence.
* Maintain an organized and well-maintained office environment.
* Assist in scheduling appointments, meetings, and travel arrangements.
* Prepare and distribute internal and external communications as needed.
* Data Management:
* Maintain and update company databases, records, and filing systems.
* Assist in data entry and data analysis tasks, ensuring accuracy and confidentiality.
* Generate reports and documents as requested by supervisors.
* Customer and Visitor Relations:
* Greet and assist visitors, clients, and employees with professionalism, respect, and a friendly demeanor.
* Handle inquiries and requests courteously and promptly.
* Maintain a welcoming atmosphere in the office.
* Office Supplies and Inventory:
* Monitor office supplies inventory and place orders as needed.
* Ensure all office equipment is in working order and coordinate maintenance or repairs.
* Meeting and Event Coordination:
* Assist in planning and organizing meetings, conferences, and company events.
* Prepare meeting materials and arrange meeting rooms as necessary.
* Support in catering and logistics for events.
* Accountability and Compliance:
* Adhere to company policies and procedures, demonstrating a high level of accountability in all tasks.
* Maintain confidentiality of sensitive information and handle it with utmost integrity.
* Continuous Improvement:
* Identify opportunities for process improvement and suggest solutions.
* Proactively contribute to the enhancement of office operations.

* Personnel
* Develop, train, and involve 1-2 floor leaders to perform the Office Assistant duties during his/her absence.
