Executive & Communications Coordinator
**Location:** Nashville, TN (Hybrid)
**Salary:** $80,000 annually
**Travel:** Up to 10%
Position Summary
We are seeking a highly skilled and proactive **Executive & Communications Coordinator** to provide strategic administrative and communications support to senior leadership. This role requires exceptional organizational abilities, strong presentation and technology skills, and the confidence to work directly with high-level executives and clients.
The ideal candidate is calm under pressure, sharp, resourceful, and comfortable taking initiative. You’ll work closely with an SVP and leadership team, supporting operational needs, navigating internal systems, and ensuring seamless communication and execution across a fast-paced environment.
Key Responsibilities
Executive & Client Support
+ Serve as a trusted partner to senior leaders, supporting daily operations, communication, and strategic initiatives.
+ Act as a professional liaison with **clients, executives, and internal teams** .
+ Manage sensitive and confidential information with professionalism and discretion.
+ Anticipate needs, take control of situations when required, and confidently make decisions to keep priorities on track.
+ Proactively **ask questions and seek clarity** to ensure accuracy and alignment on deliverables.
Communication & Presentation
+ Create **executive-level presentations** and reports using Microsoft PowerPoint and Excel, showcasing data and insights in a clear, high-impact format.
+ Confidently present and support communication efforts for leadership, both internally and externally.
+ Capture, summarize, and distribute accurate **meeting minutes** , ensuring follow-up and accountability on action items.
+ Collaborate with leadership and cross-functional teams to draft or refine executive communications.
Planning, Systems & Logistics
+ Coordinate **complex travel planning** , meeting schedules, and special events for senior leaders with precision and attention to detail.
+ Work closely with the SVP to navigate **Oracle and ERP systems** —limited training will be provided, so the ability to learn and adapt quickly is essential.
+ Support executive administrative functions, including calendar management, document preparation, and stakeholder coordination.
+ Partner with operations teams to better understand workflows and support day-to-day needs (no security industry experience required, but operational understanding is helpful).
Project & Operational Support
+ Assist with special projects and initiatives that span communications, logistics, and process improvement.
+ Identify opportunities to **streamline workflows and improve efficiency** .
+ Maintain composure in high-pressure situations and represent leadership with a polished, professional demeanor.
+ Support occasional after-hours coordination across time zones as needed (limited).
Qualifications
+ **Proficiency in Microsoft Excel and PowerPoint** , with demonstrated ability to build and present executive-level content.
+ 5+ years of experience supporting senior leaders, preferably in an executive administrative, operations, or communications capacity.
+ Strong organizational skills with the ability to manage multiple priorities simultaneously.
+ Excellent verbal and written communication skills, with confidence engaging high-ranking executives and clients.
+ Self-motivated, proactive, and comfortable working with limited direction.
+ Experience navigating Oracle or other ERP systems preferred (training provided).
+ Calm, confident, and professional demeanor with sharp attention to detail.
