Duties Description The Administrative Assistant duties included, but are not limited to:• Work in conjunction with Executive Assistant and other Industrial Board of Appeals (IBA) staff to ensure efficient operations• Provide assistance and guidance to callers and customers of the IBA• Provide support in the daily administrative functions for IBA staff and Board members• Process incoming and outgoing mail and email• Monitor case database, timeliness of filings, and progress of cases• Maintain principal office case files, both physical and electronic• Schedule and coordinate the administration of hearings, both virtual and in person• Maintain decision binders in principal IBA office• Coordinate Board meetings, both virtual and in-person• Process Freedom of Information Law (FOIL) requests and Article 78 proceedings by preparing and sending documents• Collect data and metrics in preparation and submission of required miscellaneous reports• Prepare and submit purchasing requests• Prepare and submit travel and expense reports• Submit help tickets for IT issues and requisitions• Assist in other office functions as necessary
Minimum Qualifications Interested candidates must have at least three years of professional experience as an administrative support professional in an Executive office*.*Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience. PREFERRED QUALIFICATIONS: • Highly organized and detail orientated• Excellent verbal and written skills• Highly professional in demeanor• Able to interface easily with people at all levels• Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Salesforce, virtual meeting platforms such as Zoom and Microsoft Teams• Ability to multi-task
