    SUMMARY

    This position supports the daily operations in a clerical role for Facilities, Planning, and EHS. The Service Center serves as the Facilities & Planning Customer Service campus-wide. Work consists of day to day activities located at the Service Center/Commissary Building. Activities include, but not limited to all aspects of customer service, answering phones, greeting visitors, and responding to email inquiries for the Facilities and Planning operations

    JOB FUNCTIONS

    Essential Functions:

    + Greets visitors, answers telephones and responds to email inquiries for the Facilities and Planning Service Center operation

    + Completes data entry and data manipulation, primarily for maintenance work orders, into various Facilities and Planning computer programs.

    + Provides office support by serving as front line staff (monitors phones, two email accounts, submitted online forms, supplies information and answers basic college maintenance related questions)

    + Communicates Facilities and Planning operating requirements with others, face-to-face, by telephone, or by email

    + Prepares forms, correspondence, memoranda, documents, etc., in accordance with agency, SUNY and/or New York State guidelines

    + Coordinates and distributes key requests in a timely manner, related to in person, phone and email interaction and scans supporting documentation into database

    + Organizes and reserves campus vehicle reservation system, checks for completeness and distributes within 24 business hours, new reservations and distributes to appropriate F&P staff

    Clerical Responsibilities:

    + Prepares and tracks department deposits as needed

    + Generates billing-related reports

    + Oversees the office copier/printer and ensures it is working properly.

    + Sends outage and closure notifications

    + Inputs all training documentation related to Facilities, Planning and EHS employees

    + Assists with updating department cell phone and internal phone directory information

    + Files, faxes, scans, and distributes internal mail

    + Undergoes training to complete necessary work orders related to Footprints

    + Provides support for campus events such as commencement, open house, homecoming, orientation and events and activities related to student success

    REQUIREMENTS

    Minimum Qualifications:

    This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

     

    For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

     

    At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

    NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

    There are no minimum education or experience requirements for this title.

    COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):

    Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Brockport location.

    Preferred Qualifications:

    + Ability to communicate information clearly, accurately and politely by telephone or in person

    + Prior Facilities, campus or similar experiences

    + Basic knowledge of Facilities and Planning terminology

    + Must be dependable and reliable including time and attendance

    + Must be proactive, detail-oriented and organized

    + Comprehensive knowledge of Access, Excel, Word and campus email/calendar system

    + Good interpersonal skills, ability to work with others/team - customer service attitude

    + Ability to work with members of a diverse college community in a professional manner

    ADDITIONAL INFORMATION

    Work Schedule:

    37.5 hours/week: Monday - Friday 8:00am - 4:00pm
