+ Experience as an administrative assistant
+ Experience in customer service.
+ Strong skill and experience of paying close and accurate attention to details.
+ Strong interpersonal, oral and written communications skills.
+ Experience adhering to and enforcing institutional policies and procedures.
+ Ability to manage workloads effectively with competing deadlines and priorities.
+ Proficient computer skills and experience with Adobe Acrobat and MS Office software, including Teams, Outlook, Excel, and Word.
+ Ability to work independently and as part of a team, problem-solving and exercising sound judgement and discretion.
+ High school diploma or GED .
Preferred Qualifications
+ Previous employment in higher education or government
+ Experience with conducting inventory, materials ordering, receiving, document/invoice reconciliation, and maintaining related documents and data.
+ Experience with AiM and SAP
Job Description
Administrative Assistant II is responsible for providing administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
Responsible for providing administrative, clerical, and logistical/materials support to Facilities Operations staff assigned to the University’s Round Rock campus. Oversee and manage routine operations of the department.
Oversee distribution and receipt of keys, maintain key database, key records, conduct key inventory, and perform light receiving and accounting duties. Act as a liaison between Round Rock staff and the Facilities Operations’ Ingress Management Services ( IMS ) team and the front office of IMS . Works closely with the administrative assistant for Ingress Management Systems in San Marcos to facilitate, coordinate and complete key and electronic card access requests in a timely manner, for the Round Rock campus.
Assist the Administrative Assistant III in San Marcos to ensure Human Resources functions for facilities staff, including timekeeping and pay-related, are completed accurately and in a timely manner. Functions include new hire form distribution and file maintenance, Facilities Operations general orientation, AiM orientation and guidance, key and access requests.
Act as liaison between Round Rock Facilities Operations members, ITAC , and Facilities Management Systems to troubleshoot technical issues and follow up on maintenance tickets and resolutions.
Complies with all state and university policies.
Perform other duties as assigned.
