What you will do:
This position will provide administrative assistance to Service Teams by handling these key tasks:
+ Respond to customer phone calls and inquiries, ensuring prompt and professional communication.
+ Assist with processing and coordinating material returns.
+ Scan, organize, and forward customer-required forms and documentation.
+ Manage and maintain multiple Excel reports to support daily operations (must be comfortable with data entry).
+ Monitor and prioritize a shared email inbox, ensuring timely and accurate responses.
+ Order and maintain employee uniforms, jackets, T-shirts, and related company apparel.
+ Provide backup support to Service Coordinators during absences, including technician time entry and dispatching service calls.
+ Assist with the annual inventory project and provide general support to the Service Manager and Technicians as needed.
What we are looking for:
+ Previous dispatching experience (Construction or Building Service industry is preferred, but not required)
+ Ability to coordinate and perform multiple tasks accurately and in a timely manner while pivoting as needed
+ Previous experience with data entry
+ Possess high school diploma or equivalent
+ Demonstrate advanced knowledge of Microsoft Outlook, Word, and Excel and PDF editing software
+ Demonstrate excellent communication and customer service skills
