    Job Summary:

    As an Operations & Administrative Coordinator at Exos, you will be the welcoming face and first point of contact for clients, guests, and staff at our headquarters. In this highly visible role, you will ensure a professional, client-centered experience while supporting a variety of administrative, operational, and event functions. You’ll help create a seamless and welcoming environment that reflects Exos' commitment to excellence in performance and service.

    Key Responsibilities:

    + Deliver a professional greeting to all guests and clients in person, over the phone, and via email, ensuring a consistently high level of hospitality.

    + Perform general administrative duties, including managing phone calls, mail, faxing, shipping/receiving, copier/printer functionality, and ordering office supplies.

    + Conduct internal and external event planning and execution, including setup, supplies, catering arrangements, etc.

    + Serve as a liaison between Exos and external partners including athletes, agents, teams, vendors, and sponsors—building trusted, service-oriented relationships.

    + Assist in registering clients and manage memberships and financial transactions confidently using Mindbody software.

    + Act as a concierge for staff and guests, managing hotel bookings, transportation coordination, and other travel logistics.

    + Deliver comprehensive operational support across Physical Therapy, Education, Tactical, Sport, and Corporate divisions, including but not limited to administrative functions, scheduling, billing, reporting, facility tours, and client communications.

    + Maintain a clean, organized, and welcoming lobby and office environment at all times.

    + Create and maintain Standard Operating Procedures (SOPs) for facility and guest experience workflows.

    + Uphold client confidentiality and ensure all interactions align with Exos’ standards of service, integrity, and professionalism.

    + Administratively assists with tasks assigned by Manager.

    Qualifications:

    + Background in hospitality, customer service, or administrative support.

    + Exceptional interpersonal and communication skills; a proactive and welcoming demeanor.

    + Highly organized and able to manage multiple priorities in a fast-paced, service-driven environment.

    + Proficient in Google Workspace; experience with Mindbody or similar systems is a plus.

    + Ability to work collaboratively across departments and anticipate client and guest needs.

    + Passion for delivering best-in-class service and representing the Exos brand with professionalism.
