Florida Atlantic University is seeking an Assistant Project Coordinator - Boca Raton, FL.

The Center for Online and Continuing Education (COCE) at Florida Atlantic University is seeking a highly organized, detail-focused, and tech-savvy Assistant Project Coordinator for an on-campus role based in Boca Raton, with occasional travel to partner campuses. This role offers an opportunity to work in a dynamic, evolving environment where adaptability, precision, and follow-through are essential.
This is not a typical administrative position—our workflows are often unique and require a strong growth mindset, the ability to learn quickly, and confidence with digital tools. The successful candidate will manage multiple projects at different stages, balance shifting priorities, and deliver results on time without dropping incomplete tasks.
Summary of Responsibilities:
+ Support Strategic Initiatives: Assist leadership with departmental projects, meetings, and presentations by preparing materials, tracking progress, and ensuring timely execution.
+ Problem-Solve Proactively: Address challenges with resourcefulness and adaptability, adjusting to evolving priorities while maintaining quality and accuracy.
+ Create and Maintain Reports: Collect, analyze, and present data using Wrike and CRM platforms; build digital reports and dashboards that inform decision-making.
+ Manage Project Documentation: Maintain organized records, update dashboards, and track deliverables across multiple concurrent projects.
+ Coordinate Communication: Draft professional communications, take clear meeting notes, and provide status updates to stakeholders.
+ Plan and Facilitate Events: Coordinate logistics, technical setup, and follow-up for meetings, webinars, and events.
+ Support Technology Use: Use web conferencing and collaboration tools effectively; create training materials or provide informal tech training when needed.
+ Collaborate Across Teams: Work closely with cross-functional teams to share information, complete tasks, and support broader departmental goals.
+ Perform Other Duties as Assigned in support of evolving departmental priorities.

Minimum Qualifications:
Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of related experience required.
Preferred Qualifications:
Minimum of two years of experience in project coordination, operations, or administrative support preferred.
Skills & Competencies:
Exceptional attention to detail with strong organizational abilities
Clear and professional written and verbal communication skills
Proven ability to manage multiple tasks and deadlines with consistent follow-through
Strong problem-solving skills and adaptability in a fast-paced environment
High proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel)
Experience with project management platforms (Wrike preferred) and CRM tools, including building workflows, dashboards, and process improvements that extend beyond basic task completion
Demonstrated customer service skills with a proactive, growth-oriented mindset
Salary:
$55,000 per year.
