The University Registrar is a senior leadership role responsible for safeguarding the academic integrity, accuracy, and confidentiality of all student records while ensuring the smooth execution of core enrollment and academic operations. This position provides both strategic vision and operational leadership, aligning registrar services with the University’s mission, long-term academic goals, and regulatory requirements.
As the official custodian of academic records, the University Registrar oversees the full life cycle of student academic progression—from registration and enrollment to grading, degree audits, and degree conferral—while ensuring compliance with institutional policies, accreditation standards, and state/federal regulations. A champion of innovation, the Registrar drives process improvements, leverages technology to streamline operations, and enhances student services through modernized systems and service delivery models.
This position supervises a matrixed organization of two Senior Associate Registrars and their respective teams, providing leadership, mentorship, and accountability across a wide range of registrar functions, including institutional operations, registration, scheduling, records management, and compliance. The Registrar fosters collaboration across academic departments, student affairs, enrollment services, and administrative units, ensuring seamless integration of processes that directly support student success and academic excellence.
Beyond daily operations, the University Registrar plays a key role as an institutional leader, serving as a trusted advisor to academic leadership, faculty, and administrative partners. The role requires balancing high-level strategy with operational detail, ensuring that the Office of the University Registrar remains both forward-thinking and student-centered in approach.
Essential Functions
Strategic Leadership & Policy Development
+ Provide overall leadership and direction for the Office of the University Registrar, aligning departmental initiatives with institutional objectives.
+ Develop, implement, and enforce academic and administrative policies that ensure compliance with FERPA, institutional regulations, and federal/state requirements.
+ Evaluate registrar operations against national and international best practices to optimize service delivery, student satisfaction, and resource utilization.
+ Lead process improvement initiatives through the integration of innovative technology and workflow redesign.
Academic Records & Compliance
+ Serve as the official custodian of all student academic records, ensuring accuracy, confidentiality, and secure accessibility.
+ Oversee processes for transcript requests, state licensure documentation, grade submissions, record changes, and academic standing updates.
+ Interpret and enforce institutional policies governing grading, probation, dismissal, transfer credit evaluation, and graduation requirements.
+ Manage degree clearance and conferment processes, ensuring accuracy and timeliness.
+ Maintain compliance with accreditation standards and audit requirements.
Enrollment, Registration, & Scheduling
+ Direct all aspects of course registration, scheduling, and grading in collaboration with the Senior Associate Registrar for Institutional Operations.
+ Coordinate registration processes for all academic terms across multiple programs and campuses.
+ Oversee degree audits, substitutions, and waivers approved by academic departments.
+ Support the development and maintenance of the academic schedule and catalog for all degree-granting programs.
+ Ensure accurate enrollment reconciliation at the beginning and end of each term to safeguard compliance.
+ Supervise end-of-term activities including final exam scheduling, grade processing, dismissal procedures, and preparation of official degree lists.
Collaboration & Stakeholder Engagement
+ Partner with Enrollment Services units (Admissions, Financial Aid, Clinical Education Operations, Institutional Student Financial Assistance, Bursar) to ensure seamless student support services.
+ Collaborate with academic leaders, student affairs deans, and curricular affairs deans on program changes, curriculum updates, and enrollment adjustments.
+ Support onboarding and training for faculty, staff, and administrators in registrar systems and policies.
+ Foster cross-departmental collaboration to advance institutional goals and enhance student success.
Other Duties
+ Provide coverage for core functions as needed to ensure uninterrupted service to applicants, students and staff.
+ Perform other duties and special projects assigned by leadership.

Knowledge, Skills, and Abilities
+ Proven expertise in academic records management, enrollment services, and higher education operations.
+ Advanced knowledge of student information systems (e.g., Salesforce, Jenzabar, Banner, Colleague, Peoplesoft).
+ Strong technical proficiency with Microsoft Office 365, with the ability to leverage AI and other technologies to enhance registrar operations.
+ Exceptional leadership, supervisory, and team-building skills with the ability to inspire staff and promote a culture of excellence.
+ Strong organizational, analytical, and problem-solving skills; ability to manage multiple priorities in a high-pressure environment.
+ Outstanding written and verbal communication skills, with the ability to present complex information clearly to diverse stakeholders.
+ Demonstrated ability to exercise discretion, sound judgment, and diplomacy in sensitive situations.
+ Commitment to student-centered service, cultural competence, and inclusivity.
Qualifications
+ Bachelor’s degree required; Master’s degree strongly preferred.
+ Minimum of 10+ years of progressive experience in higher education, with at least 5 years in a leadership role within registrar, enrollment, or student services. Preference given to Medical School Registrars
+ Supervisory experience required; prior work in graduate, professional, medical, or health sciences programs highly preferred.
+ Strong record of success in process improvement, technology integration, and cross-departmental collaboration.
+ Demonstrated understanding of academic policies, regulations, and compliance frameworks in higher education.
Hours & Travel
+ Standard work week: Full-Time. Monday–Friday, 9:00 a.m.–5:00 p.m. (Dependent on time zone for hours)
+ Flexibility required during peak cycles with occasional evenings and weekends.
+ Travel required to campus and other university events.
The anticipated salary range for the University Registrar SGU is $112,000 to $143,000 per year. The final salary offered may vary and will be determined based on factors such as job-related knowledge, skills, experience, and education of the successful candidate.
