Job Title: Office Assistant
Job Description
The Office and Project Assistant supports the daily functions of the Professional Learning department. This role involves working closely with key department leaders to provide administrative support, ensuring successful execution and implementation of office functions and project initiatives. The position demands clear communication with a wide range of stakeholders and requires a commitment to detail, accuracy, organization, and follow-through.
Responsibilities
+ Support daily functions of the department using Microsoft Office, Office365, Google Suite, Salesforce, DocuSign, and HubSpot.
+ Create, edit, and distribute written and electronic documents and materials.
+ Research, compile, organize, and document information.
+ Set up and manage paper or electronic filing systems.
+ Record information, update paperwork, and maintain documents or correspondence.
+ Assist with department projects and initiatives while maintaining confidentiality.
+ Demonstrate proficiency in writing skills with a strong attention to detail.
+ Draft, edit, and send correspondence, field phone calls, and respond efficiently to emails.
+ Take notes and send follow-up requests or summaries as needed.
+ Answer questions or explain processes to stakeholders.
+ Ensure stakeholders receive timely reminders and guidance for completing forms, processes, or credentials.
+ Support meetings and department logistics, including errands, set-up, break-down, and managing materials.
+ Maintain, update, and provide access to project databases.
+ Organize and track project stakeholder information, preparing and sharing reports promptly.
+ Maintain accurate records of project participants and safeguard confidentiality.
+ Monitor and ensure proper and timely responses to project-related emails and correspondence.
+ Communicate clearly with all project stakeholders.
+ Attend research project meetings as requested.
+ Assist with or complete other project tasks as assigned.

Additional Skills & Qualifications
+ High School Diploma, Associate’s degree, or equivalent college courses preferred.
+ Proficiency with Microsoft Office Suite and Google Suite.
+ Fast and accurate data entry skills.
+ Strong organizational and time management skills.
+ Ability to prioritize tasks and manage multiple projects simultaneously.
+ Capability to work closely with leadership and take initiative.
+ Valid driver’s license and reliable vehicle for errands.
+ Ability to receive and apply feedback.
+ High accountability for performance; goal-oriented, flexible, and creative under pressure.
+ Professional, cooperative, and collegial disposition.
+ Ability to work in an open suite, collaborative environment.
+ Regular and reliable attendance.
Work Environment
The work environment is an inspiring and growing non-profit organization with an amazing mission statement, offering room for growth. The schedule is Monday through Friday in the office from 8am to 4:30pm, with a 30-minute unpaid lunch.
Job Type & Location
This is a Contract to Hire position based out of Turners Falls, Massachusetts.
Pay and Benefits
The pay range for this position is $18.00 - $19.00/hr.
