Hours are Monday through Friday 8:00am to 5:00pm with occasional call on the weekends.
Job Summary
Must have a broad understanding of the Durable Medical Equipment industry, including the intake process, product selection, dispensing and setup, documentation, billing, compliance and performance management. Must also be knowledgeable on the maintenance of equipment along with service and repairs of equipment that is used by, purchased by or rented to patients. Provide first-line communication with a variety of patients, referral sources, and clinicians to facilitate ordering and delivery of durable medical equipment (DME) products, supplies and services.
Ensure all patient information is processed timely and accurately to enhance patient satisfaction and optimize revenue. Receive inquiries and orders in person, by telephone, fax, and email. Gather all necessary documentation, as it relates to payer requirements, standard operating procedures, and compliance programs. Obtain any needed prior authorizations for services to be provided according to payer policy. Communicate with patients, caregivers, and providers regarding the coverage, use, and benefits of DME products, supplies and services. Resolve customer concerns, questions, and complaints by identifying problems and coordinating appropriate corrective action. Anticipate patient needs and respond quickly to patient requests.
Input new patient demographics and ordering information into the computer system, creating and assuring accuracy of sale orders and delivery tickets. Educate patients on insurance plans and provisions, financial responsibility, and collection of patient portion. Assist patients with product selection, recommending medically appropriate, cost-effective DME to meet the patient's needs. Provide fitting and patient education on application, use, care and expected outcome for products as indicated by the physician instructions and manufacturer recommendations. This patient education will happen in a variety of patient settings including store, facility, or patient home. Furnish patients with resources, including but not limited to, Customer Handbook, contact numbers, product manuals, reorder information, and educational materials. Process paperwork –confirm accuracy of delivery tickets and complete the sale orders.
Maintain, service and repair patient medical equipment. This includes both mechanical and electrical bases equipment. Complete routine preventive maintenance and minor repairs on equipment following manufacturer requirements and company policy. Ensure proper care of spares, tools and test equipment and ensure calibration. Must be comfortable with and have working knowledge of traditional hand tools.
Maintain a working knowledge base regarding billing, documentation, and reimbursement guidelines/issues, including but not limited to Medicare, Medicaid, other third party, and contracted payers. Balance the cash drawer and prepares deposits. Assist in maintaining a clean, stocked, and sanitized store. Complete tasks with minimum supervision, exercising independent judgment. May be required to work after store hours in an on-call capacity. Perform other duties as assigned by management.
Qualifications
High school diploma or equivalent.
Strong knowledge of computer functions and basic Microsoft Office applications. Detail oriented, excellent documentation skills, and the ability to follow through to the end. Basic knowledge of the medical field, with prior experience in home medical equipment preferred.
Must have the ability to work on mechanical and electrical equipment. Experience in proper use of tools and diagnostic equipment preferred. On the job training will be provided.
When applicable, the employee must have a current valid driver’s license, and must meet all medical guidelines for Sanford Health Category III drivers.
