Purpose:
Under the general direction of the management team and senior staff, the VMO Analyst, Intermediate IT provides experienced support and interacts with vendors in a collaborative manner to achieve UPMC business objectives across the vendor lifecycle (evaluate, on-board, manage) and assists with issue escalation where applicable to meet client IT and business needs.

Responsibilities:
+ Ownership of activities encompassing the vendor management lifecycle for assigned service areas or lines of business, spanning from the inception of a business need for a vendor product or service though the cessation of vendor relationships.
+ Vendor identification and market research, including front-end due diligence and general viability, as well as risk assessment screening where appropriate.
+ Cooperation with business owners and Supply Chain Management in the development of RFx events, scoping the requirements needed to solicit vendor proposals compliant with business needs.
+ Coordination of information security evaluations in concert with IT/technical experts to identify and mitigate architecture/security risks as part of the organization's due diligence process.
+ Vendor management process advocacy and education for business owners and other stakeholders supported by the department
+ Vendor contract review/negotiation in partnership with the Legal Department and Supply Chain Management following established process and workflow.
+ Command of the organizations ERP system procure-to-pay functionality for requisition creation/management and invoice discrepancy resolution
+ Financial stewardship, assuring vendor expenses are appropriately budgeted, including documentation/approval of emergent overages or unbudgeted items.
+ Ongoing vendor performance and risk management activities to uphold the organization?s third-party risk management objectives and assure business owner satisfaction.
+ Communication - Responsible for demonstrating appropriate, clear, concise, and effective written and oral communications in all interactions to build relationships and accomplish day-to day-work and projects.
+ Deliverable Creation - Work with internal leadership team to fulfill executive asks including escalated issues, reporting, and ad hoc requests. Contribute to executive level presentations where required.
+ Interactions with Others - Successfully completes projects, tasks, and initiatives by embracing a team-first approach. Works in collaboration with team and offers feedback, where appropriate, to complete individual and group efforts. + Process Improvement - Increase product and service quality to achieve business objectives. Uses basic analytical methods to analyze and streamline business processes, while adhering with established policies, procedures, and regulatory requirements. Assists in completing service requests. Participate in and periodically lead organizational change initiatives, in the form of process enhancements or transformational initiatives, to expand and enhance the services provided by the Vendor Management team.
+ Self-Development - Responsible for continuous self-study, trainings, partnering with more senior members of team, and/or seeking out opportunities to broaden scope to stay up to date with industry and organizational trends. Solicit career development guidance and work toward closing skill gaps to accelerate professional growth.
+ Financial Management - Review vendor related financials, analyze and resolve billing related issues. Assist in the accurate creation and escalation of vendor related purchase orders.
+ Data Confidentiality/Security - Maintain confidentiality of sensitive information at all times.
+ Typically has 3 to 5 years' experience with vendor/supplier management or similar field
+ Healthcare experience is valued, but not required
+ Experience working within Supply Chain, IT, Finance, or Legal Characteristics
+ Highly driven and self-motivated to meet expectations
+ Ability to work independently and in a team-based environment, in which team culture is paramount o Willingness to knowledge share and communicate best practices to team members
+ Proactively seizes opportunities to improve departmental processes and deliver an exceptional experience to internal customers (business owners) skills
+ Working knowledge of Enterprise Resource Planning (ERP) or related procurement and financial management systems
+ Familiarity with contract life cycle management systems, including functionality for editing, routing, and storing contractual documents
+ Completes on-going training on-the-job, through courses, self-study, certifications and/or advanced degrees to maintain and enhance technical and business capabilities
