What We Need:
The Podcast Operations Coordinator plays a critical role in supporting the COO and the broader Podcast Operations team. This position is responsible for streamlining workflows, maintaining accurate records, and ensuring cross-functional coordination across multiple departments.
What You'll Do:
Deal & Contract Management
+ Track all podcast deal negotiations via AirTable, staying cc’d on relevant communications.
+ Work hand in hand with our business and legal affairs team to ensure deal tracking and contract workflows are efficient
+ Sign fully executed agreements on behalf of senior leadership and ensure proper storage and distribution.
+ Coordinate post-contract logistics, including sending invoice instructions, introducing the partner with their EP and Partner Relations contact to ensure a smooth onboarding process.
+ Review and approve/deny contractual fee invoices for payment processing.
+ Act as a primary liaison for external partners, responding to business-related inquiries and ensuring timely, accurate communication.
Meeting & Travel Coordination
+ Lead preparation for monthly Ops team meetings, quarterly Executive Producer meetings, and other internal gatherings.
+ Manage logistics, create agendas, and take detailed meeting notes.
+ Book travel arrangements for the COO and manage expense reports.
Live Events Support
+ Available to support and be on-site for podcast-related live events, assisting with coordination, logistics, and talent management to ensure smooth execution.
+ Oversee Podcast Awards operations, including managing submissions and nominations, coordinating with talent on-site, and handling trophy delivery and public relations for winners.
+ Collaborate with internal teams (e.g., marketing, production, and PR) to plan and execute live events, ensuring all operational needs are met and run-of-show logistics are aligned.
Leadership Communications
+ Maintain biweekly leadership updates for the President of iHeartPodcasts by gathering input from team leads.
AirTable Management
+ Ensure seasonal dates and deal terms are accurate and up-to-date.
+ Maintain data integrity and optimize AirTable usage across teams.
+ Develop strategies to embed AirTable more deeply into daily workflows.
Reporting & Analysis
+ Create monthly diversity reports for newly launched shows.
+ Compile quarterly revenue and download reports for senior leadership review.
+ Present data in digestible formats for strategic decision-making.
+ Review and distribute quarterly profit share statements.
Cross-Functional Coordination
+ Act as the liaison between production, marketing, sales, and finance teams.
+ Ensure timely communication and alignment across departments.
What You'll Need:
+ **Education & Experience:**
+ 2–4 years of experience in operations, project coordination, media production, or podcast-related roles.
+ Prior experience supporting senior leadership or working in a fast-paced, cross-functional environment.
+ Experience with AirTable preferred.
+ Ability to compile and present data reports in digestible formats.
+ Experience in organizing meetings, travel arrangements, and live event logistics.
+ **Availability:**
+ Willingness to travel and be on-site for podcast-related live events and awards shows.
