This role supports Vexcel by driving day to day business administration excellence across invoicing, purchasing, access and asset controls, timekeeping, and program documentation. The purpose of the Program Analyst role is to ensure operational accuracy, compliance, and timeliness in support of mission critical programs.
This opportunity will allow you to deepen your operational toolkit, strengthen cross functional partnerships (Finance, Accounting, Tax, Procurement, Program Management), and showcase meticulous attention to detail while managing multiple workflows to completion. Position Details
• Location: Remote (US-based)
• Travel: Minimal to none required
• Schedule: M-F, 9-5; no time zone preference, but should be flexible about working with colleagues in multiple U.S. time zones
• PoP: one year to start; potential to be a long-term role
Responsibilities
• Financial Operations: Release and track customer invoices; manage accounts receivable follow up; coordinate billing requests with Accounting; validate vendor invoices against purchase orders; assist with month end activities and project accrual reconciliations.
• Workforce & Timekeeping: Manage monthly headcount allocations; validate project timecards and reconcile time to invoice exceptions; support Worktime Pro onboarding and administration.
• Procurement & Asset Administration: Process purchasing requests (including Amazon/FedEx and non program POs), maintain asset tracking, and monitor PO status to closure.
• Controls, Access & Compliance: Perform quarterly access audits; maintain program documentation and process guides; partner with Tax on registrations and routine inquiries; support customer correspondence review and compliance submissions.
• Systems & Data Stewardship: Maintain accounting/project setup (codes, resources); maintain shared repositories; prepare and submit scheduled program metrics and reports as assigned.
• Stakeholder & Event Support: Coordinate meetings, conferences, and tradeshows logistics; assist Business Development activities; provide onboarding information to new hires (policies, Amex, and system access prerequisites).
• General Administration: Track monthly travel rosters; support ad hoc requests from Vexcel leadership; perform additional administrative tasks to keep programs running smoothly.

Skills and Requirements
• 5+ years of hands on business administration, operations, and program coordination experience in a fast paced environment.
• Proven mastery of detail: Track, reconcile, and close tasks with near zero tolerance for errors across invoices, POs, timecards, and access/asset records.
• Demonstrated experience partnering with Finance/Accounting, Tax, Procurement, and Program Management to resolve issues end to end and providing direction as needed
• Expert-level proficiency in Microsoft Excel; advanced skills in Outlook, SharePoint, and ability to quickly learn internal finance/timekeeping systems.
• Able to communicate effectively with stakeholders at all levels
• Clear, concise written and verbal communication; capable of producing process documentation and SOPs.

Preferred / Bonus Experience
• Background in accounts receivable management, customer billing, and collections follow up
• Experience with Dynamics 365 Business Central.
• Prior ownership of headcount allocations, project code/resource setup, and month end close support.
• Familiarity with access certifications, asset lifecycle tracking, and audit ready documentation.
• Experience coordinating conferences/tradeshows and executive-level meetings.
• Exposure to business development support activities (e.g., materials preparation, logistics).
** this role will require the candidate to score an 85% or higher on an excel assessment.
