    The Institute for Health Metrics and Evaluation (IHME) is an independent research organization at the University of Washington.     IHME has an exciting opportunity for a Program Specialists for the Global Burden of Disease research enterprise on the Financial Planning and Operations Team.

    POSITION PURPOSE

    The primary purpose of the position is to consistently manage high-profile internal and external meetings, facilitate engagement with global partners, coordinate travel and visitor hosting, plan, organize and oversee internal events, trainings, meetings as well as manage and facilitate the resources and efficiencies of the senior leadership of the multidisciplinary research on projects related to the Global Burden of Diseases, Injuries, and Risk Factors (GBD) enterprise, requiring timely coordination, management, and communication among different internal and external audiences.

     

    The Program Specialist role at IHME is designed to bridge the intricate world of global health research with the vital internal culture and community that supports it. This individual is not just tasked with the operational and logistical support of the GBD enterprise—a vast, interdisciplinary effort to quantify health loss across populations—but also with fostering an environment of collaboration, innovation, and recognition among IHME team members and collaborators worldwide. This position necessitates a unique blend of skills, combining thorough project management and communication capabilities with a genuine passion for nurturing a productive and inclusive workplace. The individual will work closely with senior leaders to execute a variety of activities that not only facilitate dialogue and partnership across the global health landscape but also celebrate the achievements and dedication of IHME's team.

     

    Given IHME's status as a global organization, the Program Specialist's responsibilities also extend beyond the Seattle office, requiring coordination across different time zones to support our diverse team and partners. This position, which is a cornerstone of the Financial Planning and Operations team, is crucial in embodying and promoting IHME's core values of respect, global mindset, integrity, transparency, anti-discrimination, integrity and innovation. This role, integral to both the operational success of GBD projects and the cultivation of IHME's internal community, is contingent upon project funding availability, reflecting the dynamic and project-driven nature of IHME's work in improving global health outcomes.

     

    **Responsibilities** :

    _Research learning_

    + Develop a command of the intellectual material, key concepts, and objectives that relate to the GBD enterprise. Individual is expected to develop an understanding of the material presented in articles, policy reports, and presentations that result from the projects involving GBD work.

    + Become familiar with the details of complex interdisciplinary projects, including team members involved, their goals, objectives, and activities. Serve as a resource on GBD activities, be integrally involved with processes and key activities during the lifecycle of the project.

    + Develop a command of UW procurement and travel policies and FPO operations processes and procedures to effectively lead with the highest of integrity and efficiency.

    _Program management_

    + Build and maintain professional relationships with internal stakeholders and external partners to ensure effective communication and coordination for the GBD enterprise's goals.

    + Collaborate closely with key stake holders and leaders on internal and external events (e.g., IHME Board Meetings, Independent Advisory Committee meetings, donor briefings, delegation visits) to execute and ensure top-quality event experiences.

    + Distribute and assist in the development of high-level meeting materials, presentations, and briefings, requiring the ability to distill complex information into clear, concise formats.

    + Ensure compliance with applicable food, safety, liquor, noise, and site regulations.

    + Support short- and long-term visitors and ensure that their stays are as productive and fulfilling as possible, in alignment with individual and project objectives.

    + Proactively manage calendars, synchronizing with external partners to coordinate meetings, activities, and events ensuring critical meetings and deadlines are anticipated and resourced.

    + Help to standardize and update management tools routinely with key information on progress against project timelines. Create smooth and efficient processes for archiving and maintaining project records. Assist with maintaining central archiving resources.

    + Confidently and successfully/thoroughly communicate with senior staff and decision-makers internally and externally with tact, diplomacy, and efficiency.

    _Operational management_

    + Provide essential operations and logistics support to project leaders, handling inquiries and ensuring adherence to policies, timelines, and goals.

    + Efficiently manage all operations related to select meetings, events, and trainings while staying within budget. Includes coordination across multiple teams to establish content and structure of meetings and events.

    + Support program operations team in refining and/or developing IHME wide standard operating procedures to create more transparency for employees.

    + Independently manage travel of key leaders and visitors, adhering to budget and IHME/UW travel policies.

    + Handle budgeting and procurement for office needs and international projects, including coordinating shipping and customs documentation.

    + Facilitate clear and concise communication internally to expedite organizational priorities and guarantee exceptional support to the entire IHME team.

    + Set and monitor short- and long-term goals to improve operational efficiency.

    _Operations support_

    + Provide and foster leadership within their scope of work on the Financial Planning and Operations Team.

    + Provide site operations and fiscal support with day-to-day operations duties, including answering the phone, maintaining a regular in-office schedule, greeting visitors and facilitating smooth transitions to meetings, ordering materials, providing estimates for shipping, packaging and entering requests, receiving and notifying for packages, maintaining various logs, daily kitchen and conference room upkeep, and working with building management and staff for facility operations.

    + Participate in the recruitment and onboarding of new staff related to the GBD and FPO.

    + Attend daily, weekly and monthly team meetings.

    + Participate in professional development opportunities.

     

    _Other duties as assigned._

    Minimum qualifications:

    Bachelor’s degree in social sciences, business, or related field, plus two years of related experience, or equivalent combination of education and experience.

    Additional qualifications

    + Strong interest in health, research, or other topics related to IHME’s mission.

    + Must exhibit strong desire and ability to learn new intellectual content.

    + Must be able to work independently and be able to take multiple priorities and translate them into project completion through expert planning.

    + Strong oral and written communication skills with ability to act with tact and diplomacy while still delivering key messages effectively.

    + Must be extremely detail-oriented and organized.

    + Strong project management skills, including demonstrated ability to think independently while coordinating resources needed to meet deadlines.

    + Must be a problem-solver, self-motivated, and require minimal supervision.

    + A cooperative team player, energetic, and able to develop productive relationships with colleagues and external collaborators.

    + Ability to thrive in a fast-paced, dynamic environment.

    Working conditions:

    + Weekend and evening work sometimes required.

    + This position is open to anyone authorized to work in the U.S. The UW is not able to sponsor visas for staff positions.

    + While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; stand; walk; type; and reach with hands and arms. Employee will occasionally need to lift up to 50 pounds and get on hands and needs to assemble furniture.

    + This position is located in Seattle, Washington working in-person at the IHME office daily, Monday-Friday. Position will be required to be onsite for specific hours that may vary at times to support operations and events.
