The grant assistant plays a critical role in supporting grant managers and teams in various aspects of grant administration and management, helping to ensure the success and effectiveness of grantmaking and supporting the mental health unit with additional administrative supportive tasks in the Behavioral Health Administration. The grant assistant will manage specific administrative tasks associated with contracting, including communicating with and collecting required documents from grantees, populating specific fields in contract templates, and creating contract workflow in the Contract Integration System (CIS). Additional task may include SharePoint or other project systems management, creation, creating documents for support of grants and unit, creating tracking, monitoring and flow supporting grants, projects and contracts.
Responsibilities include, but not limited to:
+ Serve as a subject matter expert regarding administrative aspects of the grant and contract process, including compiling, reviewing, and maintaining program records.
+ Ensure all required fields in the Contract Integration System (CIS) are up to date with all related contract and grant information and all required documents are uploaded and accessible, consistent with CIS standards.
+ Ensure all processes, contracts remain on task and executed timely
+ Update all weekly, monthly, quarterly expectations for tracking and reporting
+ Support all QI efforts
+ Create data points, systems and project planning as needed
+ Provide miscellaneous administrative support to team members. Ensure all tracking, projects, and support is developed, up to date and managed to assure fluidity of workflow and implementation.
Minimum Qualifications

Two (2) years of experience working with grants/contracts supporting a human services program.
Experience must demonstrate:
+ Working with RFPs which includes collecting, tracking, and scoring.
+ Reviewing supporting contract documents and preparing invoices for review.
+ Knowledge of grant administration processes.
+ Performing administrative actions that includes scheduling meetings, preparing/maintaining contact lists and, responding to internal and external partners.
+ Skilled at using MS Office Suite programs: Word, Excel, PowerPoint, Outlook along with Adobe Acrobat for creating, reviewing, and editing documents.
Preferred Qualifications
+ Variety of experiences working effectively with others from different backgrounds and cultures.
+ Knowledge of Behavioral Health programs.
+ Proficient in project planning software and SharePoint knowledge.
+ Project planning experience.
+ Strong administrative experience supporting large teams.
+ Strong organizational skills.
