    Place of Work: The Residences are comprised of (x) luxury residential condominium building(s).

     

    Job Overview: The Director of Residences (DOR), General Manager (GM) provides professional management for The Residences pursuant to the Management Agreement. The Director of Residences manages the Residences in a capacity similar to that of the General Manager. The primary responsibilities include:

     

    + Oversight/implementation of the day to day operations.

    + Life Safety/Loss Prevention – the consistent implementation of high standards for all aspects of life safety, loss prevention, unit owner identity and privacy protection

    + Financial Management – capable of operating within the constraints of the condominium budget and providing timely reporting of financial performance and projections to the Board

    + Facilities Management – management of luxury condominium facilities, including:

    + Oversight of the physical plant with attention to protection of the investment and plans to increase its value through superior care.

    + Oversight of all departments working in the building

    + Supervisory resource for all departments with personnel on site in The Residences

    + Liaison to Association shared services Directors (e.g. Loss Prevention, Human Resources, Accounting and housekeeping)

    + The implementation of training programs related to property management reinforcing constant quality service.

    + Defect Management – continuously identify and correct building and service defects while providing increase in value.

     

    Reports to: The Director of Residences reports to the Board of Directors for employment purposes and to the condominium through the Representative of the Unit owners. Mastering this dual reporting relationship is essential to being successful in the unique position, which bridges luxury hospitality and property management.

     

    Key Relationships: Internal: Residence Owners, Residential Board.

     

    External: Local government agencies (Fire, Police, Building & Zoning)

     

    Local property Management Organizations.

    Essential Qualifications:

    + A college education or training in the hospitality

     

    Industry.

     

    + **Property Management license** . Real Estate license

    + Ability to satisfactorily communicate with unit owners, management and employees.

    + Knowledge of the appropriate computer systems.

    + Strong presentation skills

    + Self-motivated individual with strong organizational skills and time management skills

    + Ability to prioritize responsibilities, projects, and generally promote a highly productive, professional work environment

    + Create an environment of continuous improvement for departments within the Residences.

    + Ability to select capable staff members for successful delegation of tasks.

    Essential Skills:

    + Ability to ascertain owners’/employees’ needs and

     

    comply with such to ensure their satisfaction.

     

    + Ability to focus attention on owners needs, remaining calm and courteous.

    + Ability to focus on detail.

    + Ability to ascertain caller’s needs and comply with such to ensure callers’ satisfaction.

    + Ability to think clearly, quickly, maintains concentration and makes conscious decisions.

    + Ability to prioritize, organize and follow up.

    + Ability to work without supervision.

    + Ability to maintain confidentiality of all owners’ information and pertinent Residence data.

    + Ability to ensure security of owner’s unit access.

    + Ability to work well under the pressure of processes multiple tasks within any given period of time.

    + Ability to work with constant interruptions and maintain calm and professional.

    + Ability to analyze and resolve problems exercising good judgment.

    + Ability to work flexible hours, including weekends, holidays and evenings if necessary.

    + Must have a professional image and personality exuding confidence and leadership skills.

    + Having previous Association management experience.

    + Must possess high persuasion skills and strong relationship and interdepartmental team building skills.

    Essential Job Functions:

    + Maintain complete inventory of:

     

    a) Unit owners’ name/ number/family members

     

    b) Inventory of parking spaces (If applicable)

     

    c) Inventory of Storage space. (If applicable)

     

    d) Collecting monthly Association, common dues

     

    e) Sending newsletters to all owners on a monthly or

     

    quarterly basis.

    f) All services, hours of operations

    + Maintain complete knowledge and comply with all residence policies and procedures.

    + Maintain complete knowledge about Associations Rules & Regulations.

    + Annual Budget preparation and mailing

    + General ledger/journal

    + Walking the property on daily basis

    + Answer telephone within 3 rings, using correct salutations and telephone etiquette.

    + Handle owner’s complaints by following the instant pacification procedures and ensuring guest satisfaction.

    + Provide feedback to staff on their performance. (Including regular reviews)

    + Guide the Representative of the unit owners on appropriate property management requirements and governance compliance.
