Administrative Assistant / Project Coordinator – Environmental Projects

What You’ll Do:
+ Coordinate and prepare technical documents, reports, RFIs, and proposals
+ Manage calendars, travel arrangements, and expense reports for senior staff
+ Support onboarding, building operations, and administrative staff
+ Handle purchasing, shipping logistics, and marketing materials
+ Maintain databases and track project timelines and compliance
+ Assist with vendor management and contract documentation
+ Provide reception support and manage business correspondence
+ Use Ajera (Deltek) for billing and timesheet tracking
What You Bring:
+ 5+ years of administrative experience, preferably in engineering, construction, or architecture
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project)
+ Familiarity with Ajera, Deltek, Procore, SharePoint, DocuSign, and CRM systems
+ Strong communication, multitasking, and confidentiality skills
+ Experience with technical writing, vendor coordination, and project documentation
+ Bonus: Bilingual (Mandarin/English), GIS familiarity (Esri ArcGIS), and graphics/presentation prep
Compensation:
+ Salary Range: $50,000 – $73,000/year

Location:

+ Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Pay and Benefits
The pay range for this position is $50000.00 - $73000.00/yr.
