    Job Summary:

    The Operations Assistant will provide office support to all staff and perform a variety of administrative and Broker Management System functions.

    Essential Duties and Responsibilities:

    + Prepare deposit and process through FTNI system.

    + Receptionist duties including screening and routing calls and voicemail messages and maintaining voice-mail system.

    + Greet visitors and vendors. Ensure reception area is maintained.

    + Route all incoming faxes in a timely manner.

    + Process all incoming mail, including overnight mail. Stamp and scan and attach in EPIC.

    + Process all outgoing mail, including overnight mail.

    + Maintain supplies inventory by checking stock to determine level, placing orders, and verifying receipt.

    + Conference room maintenance and meeting coordination.

    + Monitor and maintain office equipment, including copiers, label printer, scanner, and postage machine.

    + Kitchen maintenance.

    + Assist Account Managers/Producers with preparation of client documents – copying, sorting, packaging, mailing.

    + Perform EPIC control functions, including applying credits to debits, review of unapplied payments and HFC activities, and policy invoicing.

    + Other EPIC and BenefitPoint data entry as assigned.

    + Other reasonable duties as assigned by your supervisor.

    Work Experience Requirements:

    + Insurance agency or broker experience preferred

    + Exceptional customer service skills

    + Excellent organizational, interpersonal, communication skills

    + Proven ability of working in a successful team environment

    + Strong data entry skills

    + Ability to exercise independent judgment Proficient in Microsoft Word, Excel, Outlook, and internet utilization

    + EPIC Agency Management System experience preferred but not required

     

    Department Office Administration & Clerical

     

    Required Experience: 1-2 years of relevant experience

     

    Required Travel: Negligible

     

    Required Education: High school or equivalent
