POSITION SUMMARY: The Inventory Operations Analyst provides administrative and operational support to the Used Vehicle Operations team across the Ken Garff Automotive Group. This role assists with managing internal auction logistics, coordinating vehicle placements, tracking wholesale transactions, and maintaining accurate reporting for inventory performance. Working closely with buyers, store managers, and accounting teams, the analyst ensures documentation, communication, and processes run smoothly across phases of the used vehicle lifecycle.
The ideal candidate is detail-oriented, organized, and proactive—comfortable managing multiple priorities, maintaining accurate data, and supporting leadership with reporting and coordination that help improve efficiency, compliance, and overall profitability.
THE KEY COMPETENCIES FOR THIS ROLE INCLUDE:
+ Organizational & Process ManagementDemonstrates strong planning and execution skills to manage multiple operational priorities, ensuring timely movement, tracking, and reconciliation of vehicle inventory.
+ Analytical & Financial AcumenUnderstands inventory metrics, cost structures, and profit opportunities; uses data tools and reports (DOMO, Excel, vAuto, or internal systems) to identify trends and support business goals.
+ Communication & Team CollaborationEffectively communicates with Buyers, Store Managers, Accounting, and the Central Appraisal team; provides clear updates and aligns stakeholders on priorities and outcomes.
+ Problem Solving & Continuous ImprovementIdentifies process gaps, resolves arbitration and consignment challenges, and proactively recommends improvements to enhance inventory velocity and operational efficiency.
+ Technical & System ProficiencyProficient in dealership management systems (DMS), Microsoft Office Suite (Excel, Outlook, Teams, PowerPoint), and auction or pricing platforms.
DUTIES AND RESPONSIBILITIES:
+ Completion of weekly reports for Sales Ops teams.
+ Administration of the group trade network (GTN), including Arbitrations
+ Complete & follow-up transport orders for Buy Team and KGA dealerships
+ Partner with CAR Team to assist with auction purchases- merchandising & stock in process
+ Support the coordination of vehicle movements between stores, reconditioning centers, and auctions to minimize transportation delays and holding costs.
+ Partner with Buyers, Appraisers, and Store Leadership to optimize purchasing strategy, vehicle allocation, and retail readiness timelines
+ Assist with wholesale strategy by reviewing aged inventory and supporting remarketing efforts to maximize recovery.
+ Carry out management responsibilities in accordance with the Company's policies and applicable laws
+ Ad hock projects and task as the job requires

EDUCATION and/or EXPERIENCE:
+ 1 years of relevant work experience
+ Bachelor’s degree or equivalent required
+ Previous dealership experience a plus
+ Ability to read and comprehend job-related instructions and information whether electronic or paper based
COMPUTER SKILLS:Proficient in the use of computer programs and systems including: DMS, Microsoft Excel (pivot tables, vLookup, etc.), Outlook, Teams, PowerPoint and dealership software systems.
PHYSICAL DEMANDS:While performing the duties of this job the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to sit; climb or balance and stoop, kneel, crouch, or crawl. The employee is regularly required to lift up to 25 pounds.
WORK ENVIRONMENT: Work will be performed both in an office setting and in a dealership setting. While at the dealership you will stand and move throughout the dealership facility (lot, showroom, service department, offices) for most of the shift.
