TheAdministrative Coordinator 4plays a vital role in keeping regional operations running smoothly by providing high-level administrative and technical support to program, area, and regional managers. This position serves as the central hub for communication and coordination among field staff, state offices, and external partners. From managing confidential information and ensuring compliance with state policies to overseeing payroll, purchasing, and property control, this role requires strong organization, sound judgment, and initiative. Ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys being the go-to person for keeping things on track.

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
+ Maintains and updates recordsby tracking annual Plans of Care (POCs), POC revisions, and NVRA documents, and entering participant data into designated databases and electronic systems.
+ Prepares and manages correspondence,including memoranda, policy statements, and forms, independently creating templates and documents for office use.
+ Provides administrative and technical supportto managers and field staff, including assisting with purchasing activities and serving as backup to other OAAS sections as needed.
+ Processes and tracks incoming and outgoing mail,ensuring timely routing, accurate documentation, and management of postage usage.
+ Oversees payroll and attendance recordsfor assigned field staff, entering data into eCATS, reconciling records for accuracy, and generating related reports.
+ Monitors property and safety compliance,maintaining inventory control, coordinating inspections, and ensuring adherence to state procurement and risk management policies.
