Role Summary:
_You will support the Senior Vice President, Chief Financial Officer as well as the Senior Vice President, Chief Human Resources Officer. You will have a minimum of 7 years of direct administrative assistant experience, have a strong attention to detail, and exhibit strong organizational skills. In this role, your responsibilities include booking travel arrangements, coordinating and scheduling meetings and preparing information, partner with IT, Facilities, and other groups for quarterly meetings, and review and prepare reports. At times, you may be asked to assist other leaders and their work groups if needed. You will have a forward-thinking and proactive approach to work, be comfortable working with technology and proficiency in Microsoft Office. This is an on-site position that requires you to be in the office Monday-Friday._
What You Will Do
Provides administrative support for an Executive of the corporation.
Provide administrative support for an executive or group of executives including but not limited to:
Scheduling of executive's daily activities
Participation in civic and industry boards and associations
Requests for corporate assistance
Planning and coordination of travel (i.e. company pilots, transportation, lodging, meal planning, etc.)
Meeting setup, including presentation preparation, logistics, catering, transportation and lodging.
Provide guidance and/or assistance to executives, corporate directors, governmental/regulatory officials, stockholders, customers, employees, and others concerning but not limited to:
+ Executive's schedule
+ Dissemination of confidential or sensitive information
+ Special requests or activities
+ Corporate policies and procedures
+ Answer executive's telephone.
+ Assess callers' needs and determine required action.
+ Receive, open, and route correspondence.
+ Disseminate requests for information or assistance, invoices, news releases, and correspondence to ensure timely follow-up.
+ Assist with organization and maintenance of department document files.
Read, interpret, process, edit, and/or prepare correspondence and reports utilizing computers and applicable software, for example:
+ Executive's personal correspondence
+ Speeches/presentations to civic and industry groups
+ Business and stockholder correspondence
+ Invoices and expenses
+ Special projects
Regular and reliable attendance is required in performance of job.
Employee may be required to perform additional duties as assigned.
What You Will Need
Preferred Associate's Degree
Experience providing administrative and/or secretarial support to an executive.
Experience in use and function of office equipment applicable to position including computers, photocopiers, facsimiles, and applicable software.
Experience with policies, procedures, and use of terminology applicable to position.
Demonstrated ability and training related to:
+ Budgets
+ Word processing, spreadsheet, and presentation software such as Microsoft Word, Excel and PowerPoint
+ Developing and maintaining physical and/or electronic filing systems
+ Handling confidential and/or sensitive information
+ Planning conferences and meetings
+ Generally accepted standards for grammar and punctuation
Experience reading and interpreting various types of manuals, forms, publications and reports.
Experience interacting, advising and communicating effectively with internal and external customers.
Experience composing and preparing correspondence and reports.
Demonstrated ability to read and write fluently in English.
Able to operate office tools and equipment required.
Communicate and/or exchange information and instructions.
Visual abilities sufficient to perform job duties.
