Administrative Specialist
**Location:** Salt Lake City, UT
**Compensation:** $75K (DOE)
Hours:** 8:00 am – 4:30 pm or 8:30 am – 5:00 pm - **_In-Office_
Position Summary
The Administrative Specialist will provide high-level support to the C-Suite and Executive Team. This position requires exceptional attention to detail, professionalism, and discretion. The ideal candidate will have **a minimum of three (3) years of prior experience working in a law firm** , providing administrative and document support in areas such as **real estate matters, leases, contracts, corporate entities, and litigation** . This individual will handle documents and details of a highly confidential nature and must be able to manage multiple priorities independently and efficiently.
The ideal candidate is dynamic, organized, and resourceful—able to anticipate needs, coordinate across departments, and support complex projects with minimal supervision.
Essential Duties and Responsibilities
+ Handle administrative and legal support duties with minimal supervision, including managing schedules, coordinating meetings, and tracking critical real estate transaction dates.
+ Assist in the **preparation, management, and maintenance of legal documents and materials** related to real estate matters, leases, corporate entities, contracts, and litigation.
+ Review, organize, and maintain **legal contracts and supporting documentation** , ensuring accuracy and compliance with company and legal requirements.
+ Manage internal and external contacts, maintaining awareness of contract timelines and ensuring periodic follow-up with key stakeholders.
+ Coordinate travel arrangements and logistics for executives, including updates to itineraries and accommodations.
+ Perform general office duties including filing, distributing mail, ordering supplies, and maintaining organized electronic and physical files (NetDocuments).
+ Handle internal and incoming insurance certificates, verifying details and cross-referencing with contract requirements.
+ Process invoices in the accounting system (Yardi).
+ Support company events and maintain marketing material inventory.
+ Other duties as assigned to support executive operations and legal administration.
Qualifications
+ **Minimum 3 years of experience working in a law firm environment** required.
+ **Experience assisting with legal documents** related to real estate, leases, corporate entities, contracts, and litigation.
+ Bachelor’s Degree or equivalent professional experience.
+ 4–5 years of experience supporting C-Level Executives.
+ Excellent written and verbal communication skills.
+ Strong attention to detail and ability to handle confidential information professionally.
+ Highly proficient in MS Word, Excel, PowerPoint, Adobe Acrobat, and NetDocuments (or similar document management systems).
+ Demonstrated ability to multitask, prioritize, and adapt to changing needs.
+ Professional demeanor and strong interpersonal judgment.
