Scope of Job
To assist in the coordination and implementation of student engagement programs, events, and initiatives within the Robert C. Vackar College of Business and Entrepreneurship. This position supports the mission of the Vackar Office of Involvement and Center for Engagement ( VOICE ) by organizing college-wide activities, providing guidance to student organizations, managing program logistics, and supporting administrative functions such as funding requests, reconciliations, and reporting. The Program Coordinator exercises independent judgment, assists in planning and executing engagement strategies, and ensures alignment with the college’s goals for student success, involvement, and professional development.
Description of Duties
+ Coordinates VOICE programs, events, and initiatives to ensure that all activities are carried out in accordance with established objectives.
+ Supervises and manages the day-to-day activities and personnel of the assigned program.
+ Assists in planning, coordinating, and executing college-wide events, workshops, and tabling activities to promote engagement and student involvement.
+ Serves as a liaison to RCVCOBE student organizations, providing guidance on event planning, budgeting, funding requests, and program compliance.
+ Coordinates and supports administrative and fiscal processes related to funding requests, including iShop submissions, reconciliations, and budget tracking for events and initiatives.
+ Participates in budget planning and assists in controlling expenditures in accordance with approved allocations.
+ Assists in the preparation of grant proposals, funding applications, and supporting documentation for engagement initiatives and special projects.
+ Collects, compiles, and writes reports summarizing participation, outcomes, and impact of programs and events.
+ Assists with developing marketing materials, communications, and promotional content for VOICE programs and initiatives.
+ Develops and maintains collaborative relationships with internal departments, student leaders, and external partners to strengthen engagement opportunities.
+ Coordinates and supports professional development opportunities, trainings, and workshops for student organizations and leadership programs.
+ Represents VOICE and RCVCOBE at official college and university functions, meetings, and conferences.
+ Reviews and recommends improvements to event planning procedures, funding processes, and engagement strategies.
+ Provides support in developing and supervising projects that promote student involvement and align with VOICE’s strategic goals.
+ May assist with the coordination of grant-funded programs, sponsored activities, or external partnerships that align with VOICE initiatives.
+ Performs other duties as assigned.

Required Education
Bachelor’s degree from an accredited university

Required Experience
+ Three (3) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
+ One (1) year of the required experience with a Master’s degree, or
+ Five (5) years of the required experience with an Associate Degree or 60 hours of College Credit, or
+ Seven (7) years of the required experience with a High School Diploma or equivalent.

Working Conditions
Needs to be able to successfully perform all required duties. Normal office or classroom or outside environment. Some travel and weekend work is required. Particular project or program may require ability to drive a car for local or distant travel for consultation, training, meetings, or on site demonstrations. Must be able to bend, stoop, reach and lift for retrieving/maintaining files and for setting up multimedia equipment. Must be able to move between buildings, offices and classrooms. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.
