Who we’re looking for
Toyota’s Sustainable Development Division (SDD) is looking for an enthusiastic and highly motivated **Administrator.**
The primary responsibility of this role is to support the Sustainable Development Division with all administrative activities (meeting scheduling, meeting preparation, budget support). This position demands an elevated level of professionalism, tactical thinking, discretion, and organizational skills.
Reporting to the General Manager, Enterprise Sustainability, the person in this role will support Enterprise Sustainability’s objective of ensuring alignment, coordination, and clarity to SDD’s strategy and operations.
This position is based in Plano, Texas. The selected candidate will be expected to reside within commutable distance of this location.
What you’ll be doing
+ Prepare and edit correspondence, presentations, and reports for executive management team.
+ Cross departmental invoice processing, charitable donations, and budget support for all executives.
+ Coordinate and schedule meetings, including preparing agendas, arranging catering, and taking minutes.
+ Oversee group operations fostering a well-organized environment that supports strategic initiatives.
+ Help summarize projects and provide information and/or research.
+ Be the voice for continuous improvement in approach and processes.
What you bring
+ Bachelor’s degree (or higher), OR equivalent professional work experience
+ 5+ years of proven, recent experience successfully providing support as an executive assistant
+ Demonstrated flexibility and problem-solving orientation
+ Excellent written and verbal communication skills
+ Skilled and focused on prioritizing, multitasking, and demonstrating a sense of urgency and respect for deadlines, managing time effectively
+ Ability to handle highly confidential information with discretion
+ Calendar management
+ Meeting coordination
+ Managing domestic and international travel arrangements
+ Expense reports
+ Budget management
+ Proven ability to manage multiple tasks and projects with a high level of efficiency and attention to detail, while contributing to strategic goals
+ Demonstrated ability to work independently and as part of a team, demonstrating flexibility, adaptability, and strategic thinking
+ Strong proficiency in Microsoft Office suite (Outlook, Teams, Excel, Word, PowerPoint)
Added bonus if you have
+ Familiarity with project management tools and software
+ Written and verbal fluency in Japanese
+ Ariba or SAP experience
