Description
We are looking for an experienced Executive Assistant to provide high-level administrative support to senior leadership in a dynamic and fast-paced environment. Based in Baltimore, Maryland, this role involves managing schedules, coordinating meetings, and ensuring seamless communication across teams and stakeholders. This is a long-term contract position ideal for an organized and proactive individual.
Responsibilities:
• Manage complex calendars and schedules, ensuring timely and efficient organization of appointments and meetings.
• Coordinate activities with EPIC.
• Prepare and distribute clear and precise correspondence, reports, and presentations on behalf of senior leadership.
• Handle financial tasks, including processing expenses using Concur and assisting with payroll systems like ADP and Kronos.
• Maintain accurate records and data within CRM systems and other organizational tools.
• Organize travel arrangements, including flight bookings, hotel accommodations, and itineraries.
• Act as a point of contact for internal and external communications, ensuring all inquiries are handled promptly and effectively.
• Support timekeeping and attendance tracking through About Time and other systems.
• Collaborate with teams to facilitate smooth operations and resolve scheduling conflicts.
• Uphold confidentiality and integrity in handling sensitive information
Requirements
• Proven experience in an Executive Assistant or similar administrative role.
• Proficiency in calendar management and scheduling software.
• Proficiency in EPIC.
• Strong knowledge of virtual meeting platforms like Cisco Webex Meetings.
• Experience working with CRM systems and data management tools.
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• High degree of professionalism and discretion in handling confidential matters
