    Joule is seeking a highly organized and detail-oriented Global Medical Affairs Congress Coordinator to join a leading pharmaceutical organization based in Raritan, NJ. This hybrid role (2–3 days/week onsite) offers the opportunity to support strategic congress activities that drive scientific engagement on a global scale.

     

    The ideal candidate will bring a Bachelor’s degree and a minimum of 3 years of experience supporting medical congresses within a Medical Affairs department, with a proven ability to manage cross-functional collaboration, timelines, and compliance in a fast-paced environment.

    Job Description

    The Congress Coordinator plays a vital role in supporting external engagement activities during congress events. This position is responsible for managing outreach, coordinating logistics, and providing on-site support to ensure seamless execution of congress engagements. The ideal candidate will serve as a key contact point, maintain accurate records, and facilitate communication across teams, with a strong focus on system management and data integrity.

    Key Responsibilities:

    + Outreach & Communication:

     

    Supports outreach efforts to Asset Teams and acts as a primary contact during congress, under the oversight of the External Engagement Project Manager.

     

    + Conflict Resolution:

     

    Escalates scheduling conflicts flagged within the system to appropriate stakeholders for prompt resolution.

     

    + On-Site Support:

     

    Provides on-site assistance during congress events to track attendance and support the External Engagement PM in logistics and coordination.

    Qualifications & Skills/ Minimum Experience Required:

    + Degree Required: Minimum BS/BA

    + 3-5 Years of experience in OL engagement management or project management

    + Familiarity with medical congresses

    + Strong organizational and communication skills including communicating with external customers

    + Proficiency in system data entry and management

    + Ability to escalate issues effectively and coordinate with cross-functional teams

    + On-site support experience is preferred

    + Familiarity with H1 modules or similar engagement tracking systems is a plus

     

    Travel Requirements: Up to 50% domestic and international
