Position Overview:
System One is seeking a Facility Access & Day Porter Assistant to support front desk operations, access control, and common area upkeep across both Bellevue and Everett offices. This position serves as the first point of contact for visitors, vendors, and facilities-related personnel, ensuring a secure, professional, and welcoming environment in line with the Facility Access and Security Procedure.
This individual will play a critical role in maintaining smooth daily operations, assisting with administrative and logistical support, and promoting a clean, organized, and customer-focused workplace.
Key Responsibilities:
+ Manage front desk operations, greet and assist visitors, and ensure compliance with security/access protocols
+ Support facility-related service requests via JIRA ticketing system
+ Coordinate meeting logistics, including room scheduling, catering delivery, and post-event cleanup
+ Assist with onboarding/offboarding by directing guests and staff to proper locations and facilitating facility access
+ Maintain common areas (lobbies, conference rooms, breakrooms, copy rooms), including cleaning and restocking supplies
+ Regular cleaning of refrigerators, coffee machines, microwaves, and other shared appliances
+ Conduct inventory tracking for ordering supplies and refreshments
+ Manage incoming/outgoing mail, packages, and internal deliveries
+ Help staff with desk and office reservations using Maptician
+ Serve as a member of the Emergency Response Team
+ Travel regularly between Bellevue and Everett to provide consistent support
+ Lead quarterly and annual cleaning initiatives for designated areas
+ Perform other administrative or facilities-related duties as assigned
Required Qualifications and Skills:
+ 1–3 years of front desk or receptionist experience (high-volume environments preferred)
+ Strong customer service mindset, hospitality-driven approach
+ Ability to take initiative and manage light administrative responsibilities independently
+ Dependable, flexible availability between 6:30 AM – 5:30 PM
+ High school diploma required; associate degree preferred (or equivalent experience)
+ Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
+ Excellent verbal and written communication skills
+ Strong attention to detail, organization, and time management
+ Experience with JIRA, Confluence, and Maptician is a plus
+ Ability to maintain professionalism and confidentiality when interacting with internal and external contacts
+ Strong problem-solving skills and the ability to prioritize in a fast-paced environment
+ Demonstrated ability to work independently with minimal supervision
+ Comfortable interacting with staff at all levels and responding to facility needs in real time
+ High level of integrity and a collaborative, team-focused mindset
Physical and Work Conditions:
+ Motor Abilities: Sitting or standing for extended periods; bending/stooping; fine motor control and gripping
+ Physical Requirements: Minimal exertion; ability to safely lift up to 30 lbs
+ Repetitive Work: Prolonged (e.g., typing, administrative tasks)
+ Special Senses: Visual and auditory attention required
+ Work Conditions: Standard office environment, frequent keyboard use, occasional stairs
+ Travel: Local travel between Bellevue and Everett offices as needed (0–5%)
