    Program Description:

    The Bronx Academy for Multi-Media seeks a vibrant, dedicated Program assistant to work closely with the Community School Director to ensure our program is of the highest quality. The Program Assistant will coordinate, update, and generate reports for the 21stCCLC extended-day program and will provide daily administrative support services.

    Principal Objective/Role Overview:

    The Program Assistant is responsible for the overall administrative duties of the site to ensure the program can effectively meet the agency and specific program mandates. The Program Assistant works closely with the Program Leadership to ensure that the site and the program are of the highest quality. The policy of confidentiality regarding participant information must be strictly always adhered to.

    Job Responsibilities:

    + Provide clerical support to the program staff, including ensuring adequate coverage at the Community School office, answering & directing telephone calls, maintaining files, creating documents, and related tasks.

    + Promptly, professionally, and efficiently assist all visitors upon arrival.

    + Develop and compile statistical data for reports as needed for 21st CCLC data system.

    + Organizes, schedules, and attends meetings and conferences for program participants and staff.

    + Enroll new participants in the 21stCCLC data system.

    + Closes out and properly files case records when students no longer attend the program, including organizing files and dropping from 21st CCLC data system.

    + Assist with program special events.

    + Order & maintain inventory of all office supplies and participant needs.

    + Report equipment and maintenance needs & follow-up to completion.

    + Proactively problem-solves building and front desk challenges.

    + Ensure staff signs in and out daily.

    + Attend job-related training and staff meetings.

    + Acts as liaison with other sites.

    + Perform other duties as assigned.

    Qualifications

    Position Qualifications:

    + Experience working with middle school students and families in a school setting.

    + A high school diploma or equivalent is required, with some college education in a related field being a bonus.

    + Excellent written and verbal communication abilities combined with practical decision-making and problem-solving skills.

    + Bilingual in English and Spanish would be an advantage.

    + Afternoon and evening availability, with some Saturdays.

    + Exceptional attention to detail, particularly with administrative tasks, including proficient use of Microsoft Suite for thorough and meticulous documentation, upholding professional boundaries, and maintaining confidentiality.

    + Familiarity with 21stCCLC program.

    Salary & Compensation:

    + Base Salary or Hourly Rate: $21.36/hour

    + FLSAStatus: Non-Exempt
