Who we’re looking for:
The UW Medicine - Department of Laboratory Medicine & Pathology (DLMP) in Seattle, WA has a fantastic opportunity for an Inventory & Procurement Operations Specialist with the **Purchasing Team** at the Renton Central Laboratory.
The Inventory & Procurement Operations Specialist serves as both a business analyst and operational specialist, supporting the phased implementation of the Workday Inventory-to-Procurement system. This role analyzes, designs, and executes process improvements across inventory, supply chain, and vendor-managed services while ensuring alignment with DLMP’s strategic goals.
The Specialist partners closely with the Assistant Director of Purchasing to identify current-state processes, plan future-state workflows, and execute operational readiness for lab move-ins, vendor services, and supply chain operations. All initiatives, process changes, and implementations are reviewed with the Assistant Director prior to execution.

What you’ll contribute:
_Inventory-to-Procurement System_
+ Lead analysis, planning, and execution of Workday Inventory-to-Procurement workflows.
+ Monitor adoption, data accuracy, and compliance with requisition/receiving processes.
+ Identify gaps, prepare recommendations, and route to Assistant Director for approval.
+ Provide user support, job aids, and training.
_Supplies Storage & Inventory Handling (Phased Approach)_
+ Design and implement centralized lab supply storage processes integrated with Workday.
+ Conduct data analysis to identify opportunities for bulk ordering and supply centralization.
+ Launch with PPE, office supplies, and lab coat services; expand to reagents, consumables, and other materials as systems mature.
+ Establish and monitor inventory thresholds (“par levels”) with phased restocking during lab move-ins.
+ Plan and coordinate setup of storage spaces (racks, cabinets, shelving) aligned with inventory implementation needs.
+ Analyze usage trends and prepare savings/efficiency reports.
_Dock Receiving & Distribution_
+ Identify and plan equipment needs in the Dock to ensure smooth receiving and distribution operations.
+ Support daily dock receiving and distribution operations during the initial phase of move in.
+ Unpack and deliver supplies to designated lab units.
+ Verify goods against purchase orders and escalate discrepancies.
+ Coordinate safe and compliant delivery of supplies to labs.
+ Draft and maintain receiving/distribution SOPs with Assistant Director oversight.
_Lab Move-In Readiness & Vendor Services_
+ Assist the Assistant Director in preparing labs for move-in readiness by identifying and mapping current state processes.
+ Support vendor setup and contracting services including laundry, shredding, and other essential operational needs.
+ Coordinate with internal stakeholders and vendors to ensure service continuity and readiness.
_Warehouse Operations (Future Phase, if applicable)_
+ Participate in planning for potential warehouse operations, including layout, storage systems, and retrieval methods.
+ Provide analysis of current practices to determine future warehouse needs.
_Staff & Training Support_
+ Provide day-to-day guidance for staff performing inventory, storage, and distribution functions.
+ Assist in staff and end-user training on inventory and receiving processes.
+ Promote cross-training across Procurement and Fiscal teams.
_Other Projects_
+ Support additional miscellaneous or ad hoc projects as assigned by the Assistant Director, particularly those related to procurement operations, vendor management, and process improvement.
What you’ll need:
+ Bachelor’s degree in Business Administration, Supply Chain, Logistics, or related field, or equivalent combination of education/experience.
+ 3+ years of experience in inventory management, procurement, supply chain, or business analysis.
+ Strong analytical, organizational, and project coordination skills.
+ Excellent written and verbal communication skills.
Desired qualifications:
+ Experience with DLMP ordering system PurchasePath
+ Experience with Workday ordering system
