    Position Summary:

    The Administrative Specialist III is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and agency/institution policy.

    Duties & Responsibilities:

    Front Desk & Customer Service • Serve as the first point of contact by greeting students, faculty, staff, and visitors at the front desk. • Act as the primary contact for walk-ins, phone calls, and emails, resolving student inquiries or referring them appropriately. • Open the office each morning and prepare for daily operations; maintain a welcoming, organized, and professional front-office environment. • Assist students and families with basic application questions and provide accurate information on admissions processes by connecting with admissions counselors. • Collaborate with admissions counselors and processing staff to resolve student inquiries and support application completion. Student Employee Oversight • Provide day-to-day oversight, scheduling, and training for front-desk student employees, ensuring professionalism and service consistency. • Delegate tasks and ensure student workers fulfill responsibilities in line with service expectations. • Provide guidance to staff and student workers regarding front-desk office procedures and operational processes. Office & Administrative Management • Serve the leadership team as office manager, ensuring front-line service coverage and consistent communication across the department. • Manage incoming and outgoing mail, including opening, date-stamping, distributing, and processing returned mail. • Monitor and respond to messages received via the Admissions email account, forwarding or escalating inquiries as appropriate. • Maintain both digital and physical office files, ensuring proper organization, accessibility, and confidentiality. • Maintain departmental calendars, including admissions events, academic calendar dates, staff out-of-office schedules, and the Admissions Officer of the Day rotation. Budget & Operations Support • Assist with departmental purchasing, budget monitoring, and maintaining updated equipment inventory in coordination with the Budget Specialist. Data & Documentation • Scan and route admissions documents into the student information system as needed. Other Duties • Perform other duties as assigned to support the mission and goals of the Office of Admissions.

    Knowledge/Skills/Abilities:

    Knowledge of record keeping procedures, the principles and practices of mathematics and statistics, work-related subject area, and computers and software applications

     

    Ability to conduct research and compile data into report form, establish and maintain filing systems, operate standard office equipment, analyze documents to determine compliance with rules, regulations, and

     

    procedures, and communicate both orally and in writing

    General Days/Hours:

    Monday - Friday

    8:00 a.m. - 5:00 p.m.

     

    Additional hours as requested and/or needed

    Minimum Qualifications:

    The formal education equivalent of a High School Diploma

     

    One (1) years of experience in a specialized or related area applicable to work performed

     

    Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
