    Summary:

    We are seeking a detail-oriented and compassionate Administrative Specialist to support our Patient and Family Resource Center (PFRC) Team and the patients and caregivers that we serve. This individual will play a key administrative role in maintaining daily operations for the PFRC and ensuring seamless communication and coordination between patients, teammates, and interdisciplinary colleagues.

    Responsibilities:

    1. Provide front-line support to clinical staff and patients receiving Cancer Support Services.

    2. Manage PFRC conference and consult room scheduling

    3. Order and maintain pars for office/healthcare supplies and equipment

    4. Assist with kitchen and catering orders

    5. Assist in the management and upkeep of all patient-facing materials in the resource center library.

    6. Support planning and managing multiple special events throughout the year

    7. Assist PFRC manager with special communications and updates to service line leadership and staff, including a monthly Cancer Support Services newsletter.

    8. Serve as a key liaison with our team of Oncology Volunteer Navigators who serve in the PFRC and throughout the outpatient clinical areas.

    9. Support multidisciplinary case conferences and care team coordination within the PFRC conference and consult rooms, including Webex/Zoom/Slidesharing support and scheduling.

    10. Organize, order and maintain appropriate levels of office supplies, medical-surgical supplies, kitchen supplies and food orders. Assist with catering orders for recurring and special events.

    11. Organize, order, update and maintain patient-facing resources and educational materials from approved sources and outside vendors. Assist with updates and maintenance for New Patient Orientation Guides. Collaborate with UNC Health Communications team to ensure appropriate and approved branding and health literacy compliance with all patient facing materials.

    12. Help maintain departmental records, assist with managing PFRC providers calendars, and coordinate internal departmental meetings, including bi-annual clean out retreats.

    13. Assist PSMIII with the creation, publishing and distribution of a monthly newsletter sharing updates from Cancer Support Services.

    14. Provide administrative support to Cancer Patient Assistance Fund

    15. Greet and assist staff, volunteers, patients and families visiting the PFRC with professionalism, patience, and empathy

    16. Provide support and mentorship to PFRC volunteers, including schedules, orientation, onboarding and troubleshooting.

    • High School diploma or GED

    Licensure/Certification Requirements:

    • No licensure or certification required.

    Professional Experience Requirements:

    • Two (2) years of clerical or administrative experience

    • If Bachelor's degree, no years of clerical or administrative experience

    • If Associate's degree, one (1) year of clerical or administrative experience
