    What We Want

     

    The Department of Global Engagement is seeking a highly organized and detail-oriented International Agreements Specialist to support the administration of international agreements. The ideal candidate will have excellent verbal and written communication skills, strong attention to detail, and the ability to manage multiple projects while meeting deadlines. You should be proficient in word processing, spreadsheets, and database software, and bring a customer-focused mindset with strong problem-solving abilities. Success in this role requires the ability to work independently, multitask effectively, and collaborate with colleagues across departments.

    Salary: $52,000.08/annually

    Essential Duties/Tasks

    Agreements Management and Compliance

    + Prepares, reviews, and routes agreements between Texas A&M University and international collaborators, including but not limited to, academic collaborations, reciprocal exchange, and dual degree plans.

    + Prepares, reviews, and routes memorandums of understanding (MOUs), letters of intent/interest, letters of cooperation, declarations of intents between Texas A&M University and international collaborators.

    + Works closely with the Contract Administration office, the Division of Risk, Ethics, and Compliance, and other units across the university to ensure compliance with applicable federal, state, system, and university laws, policies, and guidelines.

    + Coordinates the export control screenings process on potential partner institutions, coordinators, and signatories.

    + Monitors the status of international agreements, including routing, execution, expirations, renewals, and extensions.

    + Maintains a database of all past, current, and in-progress international agreements.

    + Maintains public facing dashboards and websites.

    + Assists in the regular review and evaluation of all active international agreements.

    + Serves as an alternate for the International Service Provider (ISP) agreement process.

    + Assists in the preparation of reports and other documents related to international activity.

    Stakeholder Communication and Coordination

    + Communicates regularly with stakeholders to facilitate and understand desired outcomes.

    + Ensures information is correct and meets expectations.

    + Provides customer service functions, answers questions on agreements, and attends meetings to discuss the agreement process.

    + Works collaboratively with various offices, units, departments, and colleges throughout the agreement process and lifecycle.

    + Provides regular and continuous updates to all stakeholders regarding the status and timelines of proposals, reviews, routing, expirations, renewals, etc.

    + Acts as a consultant to internal university stakeholders or agreement initiators as related to the international agreement process and guidelines.

    + Presents informational sessions or workshops to administrators, faculty, and staff about the international agreement process.

    Administrative Support

    + Coordinates the intake of requests and provides support for various programs such as delegation hosting, flag reservations, etc.

    + Assists with updating operating procedures, manuals, and other materials such as briefing documents and presentations.

    + Manages one or more departmental shared email accounts, responding to inquiries or distributing/forwarding as appropriate.

    + Receives guests and serves as the first point of contact for visitors coming to the Department of Global Engagement offices when needed.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree or equivalent combination of education and experience.

    + No previous experience required.

    + Additional requirements: Ability to move and set up/take down flags.

    Preferred Qualifications

    + Knowledge of Microsoft365 and Power BI automation.

    + Experience using agreement or contract management platforms or systems.

    + Previous work experience in a higher education setting.

    + Two years of experience in contract or agreement management.

    Preferred Knowledge, Skills, and Abilities

    + Excellent verbal and written communication, organizational, interpersonal, proofreading, and time management skills.

    + Ability to prioritize and manage multiple projects and meet deadlines.

    + Skills in word processing, spreadsheets, and database software.

    + Customer service and problem-solving skills.

    + Ability to multi-task, work independently, and work cooperatively with others.
