    The Connecticut Department of Correction (https://portal.ct.gov/DOC) (DOC) is recruiting clerical professionals to join the Parole & Community Services (https://portal.ct.gov/doc/custom-webpages/site-resources/parole-and-community-services) unit as a Secretary 1 (https://www.jobapscloud.com/CT/specs/classspecdisplay.asp?ClassNumber=6976CL&R1=&R3=) in the Hartford District Office (https://portal.ct.gov/doc/directions/parole-and-community-services-hartford-directions) . POSITION HIGHLIGHTS This position is full-time, following a first shift schedule, on-site, 40 hours per week, scheduled Monday-Friday, between 8:00am and 4:30pm. This position will support Administrators such as Parole Supervisors, Counselor Supervisors, Deputy Directors, and/or Parole Officers. As a Secretary 1, you perform a full range of secretarial support functions to optimize workflow procedures. You will assist colleagues by supporting them with various administrative tasks and will be an integral part of our team. ABOUT US The Division of Parole and Community Services (P&CS) supervises and provides support services to offenders released to the community under the jurisdiction of both the Commissioner of Correction and the Board of Pardons and Paroles. The Division is comprised of district offices located in Bridgeport, Hartford, New Haven, Norwich, and Waterbury, and the following specialized units: Residential Services, Central Intake, Special Management, Mental Health, Fugitive Investigations, DUI, Women’s Re-Entry, Support Services, and Training and Staff Development Unit. The Connecticut Department of Correction (DOC) is the agency responsible for corrections in the U.S. state of Connecticut. The agency operates 13 correctional facilities. It has its headquarters in Wethersfield. The DOC protects public safety by ensuring offenders serve their sentences of imprisonment in facilities that are safe, humane, and provide re-entry programming. The State of Connecticut, Department of Correction, is a unified system; all sentenced and unsentenced offenders are supervised by the DOC. The Department also provides supervision for offenders on parole, community release, and other discretionary release programs.

    PURPOSE OF JOB CLASS (NATURE OF WORK)

    In a state agency this class is accountable for performing a full range of secretarial support functions.

    EXAMPLES OF DUTIES

    Performs a variety of secretarial duties as described in the following areas:

    + TYPING:

    + Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;

    + Proofreads for content;

    + Edits using knowledge of grammar, punctuation and spelling.

    + FILING:

    + Designs office filing systems;

    + Organizes and maintains files (including confidential files);

    + Maintains, updates and reviews reference materials and manuals.

    + CORRESPONDENCE:

    + Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature.

    + REPORT WRITING:

    + Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month).

    + INTERPERSONAL:

    + Greets and directs visitors;

    + Answers phones and takes messages;

    + Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit).

    + PROCESSING:

    + Scans correspondence;

    + Pulls and attaches related materials;

    + Reviews, routes and prioritizes mail.

    + SECRETARY:

    + Arranges and coordinates meetings (including space and equipment);

    + Writes minutes of meetings, lectures, conferences, etc. from rough draft;

    + Takes notes and/or meeting minutes;

    + Prepares expense accounts;

    + Makes travel arrangements.

    + OFFICE MANAGEMENT:

    + Maintains an inventory of supplies and equipment;

    + Orders supplies when necessary;

    + Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);

    + Maintains time and attendance records;

    KNOWLEDGE, SKILL AND ABILITY

    MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

    Two (2) years of experience above the routine clerk level in office support or secretarial work.

    MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

    College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of one (1) year.

    PREFERRED QUALIFICATIONS

    + Experience utilizing MS Outlook, scheduling meetings, and coordinating calendars.

    + Experience utilizing MS Word, creating letters, agendas, memos, and other business communications.

    + Experience utilizing MS Excel, creating spreadsheets, utilizing formulas, functions, and filters.

    + Experience utilizing Teams, scheduling, and participating in meetings.

    + Experience working with confidential information.

    + Experience in generating accurate and complete work while under the restraints of a deadline.

    + Experience supporting multiple people simultaneously.

    + Experience in accurately inputting and managing data and using databases to generate reports.

    + Experience in maintaining paper and digital files, including organizing, tracking, and storing files.
