    Overview

     

    The Patient Services Representative 1 coordinates and participates in a variety of duties associated with daily clinic preparation process, patient identification, patient check in, charge posting, cash management and basic patient appointment scheduling. Conveys a positive image and provides information to ensure patients' needs are met.

    Qualifications

    Clinic Preparation & Patient Flow

    + Coordinate and participate in daily clinic preparation tasks:

    + Patient identification

    + Check-in and check-out

    + Charge posting and cash management

    + Appointment scheduling

    + Patient registration and account setup

    + Handling phone calls

    + Manage all incoming patient care requests:

    + In-basket activities

    + Referrals

    + Work queue activity

    + Incoming telephone calls

    Communication & Telephone Management

    + Competent in telephone system operations; take and deliver messages to physicians, nurses, and others.

    + Report medical information obtained from patients and referring physicians accurately, completely, and promptly.

    + Distribute messages according to practice communication standards.

    + Serve as a role model by conducting self in a responsible, professional manner.

    Insurance & Authorization

    + Proficient in insurance coverage rules:

    + Eligibility

    + Network coverage

    + Benefits

    + Successfully complete mandatory insurance training and ongoing competency refreshers.

    + Competent to initiate and secure prior authorizations as needed.

    Responsibilities

    Customer Service

    + Smile and greet patients, families, and visitors warmly.

    + Proactively communicate with patients:

    + Listen with empathy and intent to understand.

    + Provide opportunities for questions.

    + Collaborate with team members to address patient/family concerns and assist with resolution.

    + Consult with healthcare team members and share updates with patients and families.

    + Answer phone calls clearly, courteously, calmly, and professionally.

    + Screen calls by urgency and route promptly and accurately.

    + Schedule, cancel, and reschedule patient appointments per office procedures.

    + Support digital communication (e.g., MyCarle, text) with professionalism and compliance.

    + Gather, verify, and enter demographic and insurance information for new and established patients.

    + Assist with proactive charge capture and billing accuracy.

    + Collect payments, issue receipts, and reconcile daily receivables for deposits.

    + Open and/or close the clinic following specified guidelines.

    + Collaborate with support services to maintain a clean and welcoming environment.

    + Demonstrate effective communication skills and telephone etiquette.

    + Interact positively and sensitively with patients, families, visitors, and team members.

    Administrative/Clerical Support

    + Work independently and complete assigned tasks on time.

    + Stay informed by attending meetings, reading emails, and checking the intranet.

    + Maintain regular and consistent attendance.

    + Comply with CLIA, OSHA, Safety, and Risk Management guidelines.

    + Follow personnel policies and procedures.

    + Monitor environmental conditions to protect health information.

    + Behave in accordance with Corporate Compliance and HIPAA policies.

    + Show initiative to improve quality and exceed customer expectations.

    + Balance team and individual responsibilities:

    + Be open to feedback and other viewpoints.

    + Contribute to team goals and prioritize team success.

    + Perform other duties as requested by the Clinic Administrator.

    Compensation and Benefits

     

    The compensation range for this position is $16.98per hour - $27.51per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, location, training, licenses, shifts worked and compensation model.
