    Description We are looking for a dedicated Receptionist to join our team in Santa Clara, California. In this Contract to permanent position, you will play a pivotal role in managing office operations, supporting employee engagement initiatives, and ensuring a welcoming environment for staff and visitors. Your attention to detail in administrative tasks and facility coordination will contribute significantly to the smooth functioning of the workplace.

    Responsibilities:

    • Manage the reception desk, including greeting visitors, handling phone calls, and maintaining a detail-oriented and organized front office environment.

    • Coordinate and implement local employee engagement initiatives, adapting them to meet specific office needs.

    • Track employee satisfaction using occupancy reports, booking systems, and internal surveys.

    • Oversee office budgets by approving invoices, submitting receipts, and managing purchasing requests.

    • Escalate unresolved office issues to appropriate teams or departments for timely resolution.

    • Facilitate quarterly reviews to address quality and service concerns.

    • Manage vendor agreements and contractor relationships related to facility operations.

    • Support local health and safety programs to ensure compliance and employee well-being.

    • Coordinate maintenance activities, including reactive and planned repairs, as well as building renovations.

    • Monitor cleanliness and safety standards within the office and escalate concerns when necessary. Requirements • Minimum of 2–5 years of experience in a similar role, ideally in office administration or facilities management.

    • Strong customer service skills with a proactive approach to assisting employees and visitors.

    • Ability to work independently with minimal supervision while maintaining a positive and detail-oriented demeanor.

    • Proficiency in Microsoft Office applications, including Outlook, Teams, Excel, and PowerPoint.

    • Excellent written and verbal communication skills in English, with the ability to convey information clearly.

    • Strong organizational abilities, including multitasking and effective follow-up on tasks.

    • Experience managing multi-line phone systems and handling inbound calls.

    • Certification or higher education in facilities management, business administration, or a related field is preferred. TalentMatch®
