Job Title: Accounts Payable Specialist
Job Description
We are seeking a detail-oriented Accounts Payable Specialist to efficiently manage accounts payable processes across multiple locations. The ideal candidate will handle vendor statements, maintain the AP inbox, process bills accurately, and ensure compliance with accounting standards.
Responsibilities
+ Manage multiple locations with other AP Specialists and the AP Manager.
+ Receive statements from vendors and manage the AP inbox daily.
+ Respond to internal and external emails and ensure emails are moved to the correct folders.
+ Review new and updated vendor documentation for the AP Manager.
+ Process bills accurately, ensuring proper backup is attached.
+ Ensure correct general ledger coding of invoices.
+ Process transactions, maintain accounts, record entries, and reconcile books of accounts.
+ Establish good working relationships with employees and vendors.
+ Verify vendor accounts, pay vendors, and resolve invoice or payment discrepancies.
+ Ensure check requests and employee expense reports are properly documented.
+ Download all online invoices to avoid late payments.
+ File paperwork correctly in filing systems or digital systems.
+ Stay informed of regulatory requirements and best practices in accounting.
+ Assist in special projects as needed.
+ Work overtime as necessary.
Essential Skills
+ 3-5 years of experience in accounts payable and reconciliations.
+ Proficiency in Microsoft Excel, including pivot tables and VLOOKUPs.
+ Experience with Dynamics 365.
+ Strong understanding of accounts payable processes.
Additional Skills & Qualifications
+ Experience with Maximo (IBM software) is a plus.
+ Ability to reconcile accounts and resolve payment misapplications.
+ Familiarity with Microsoft Dynamics.
Work Environment
The role is based in La Mirada in a 'pit' style environment, where each specialist has their own desk space in a shared area. The team has a family-like culture and works collaboratively across functions. The team currently consists of four people. The dress code is business casual, allowing slacks and a polo or blouse. Work hours are from 9 am to 12 pm, totaling 20 hours per week. Enjoy flexibility with the schedule, no after-hours or weekend work, and monthly internal lunches, snacks, and drinks in the breakroom.

This is a Contract position based out of La Mirada, California. Part time.
Pay and Benefits
The pay range for this position is $27.00 - $30.00/hr.
