    The City of Littleton Public Works & Utilities Department has an opening for a Business Support Specialist to serve as a first point of contact and provide direct business support for the Facilities Division, coordinating the daily work order and preventative maintenance schedules. This position also coordinates department programs and events, assists with budgets, staffing needs, processing invoices and purchase orders, and other day-to-day functions.

     

    This position will have the opportunity to work on a variety of projects including developing the first on-call vendor program for Facilities Management and participating in upcoming design and development processes for Belleview Service Center Site and Building Redevelopment.

     

    The ideal candidate is customer service oriented, is organized and enjoys being busy and taking on new challenges. Knowledge of the “Built Environment” would be beneficial as this position will handle calls with building requests and issues. The ability to gather accurate information before dispatching the team is key.

    Hiring pay range $25.00 - $26.50 per hour

     

    This full-time position is non-exempt per FLSA and is eligible for overtime compensation.

     

    **Work Schedule** : This is a full-time position that will be seated at the front desk but has the option to work a hybrid schedule as needed to be cleared by supervisor to make sure there is coverage.

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    + Plans, prepares, and updates schedules for the preventative maintenance activities in the city facilities using the asset management program.

    + Assists with budget, staffing needs and other resources needed to maintain city buildings.

    + Processes invoices, receives, and processes Purchase Orders, RFP’s and contracts, and managing budgets for facilities-related expenses.

    + Trains staff when needed, manages, monitors, and refines work processes, turnaround times, and joint cooperation with vendors, customers, and peers.

    + As one of the Global Administrators for the Division’s Asset Management work order system, creates work orders and appoints work orders that come in from city employees to the Facilities and custodial staff.

    + Aids other city departments in the planning, setup, and teardown of special events.

    + Supports daily facility operations, scheduling routine maintenance, processing repair requests, room assignments and setup, and collecting and researching information about building systems.

    + Ensures the facility adheres to health, environmental, and safety regulations from local, state, and federal authorities.

    + Implements security policies and protocols to protect the facility and its occupants.

    + Learn the accounting and procurement processes for our approved key vendors. Support city-wide competitive bidding processes and procedures.

    + Handles administrative tasks such as record-keeping, managing correspondence, and supporting the facilities team.

    + Anticipates and plans for changes in internal and/or external operating conditions and business needs.

    + Manages assignments with considerable freedom to decide on work priorities and procedures to be followed; requires less supervision and oversight on projects/product.

    + Coordinates or oversees department programs, projects, and processes.

    + Serves as administrative resource for department vendors and contractors; skilled in communicating with a variety of audiences with minimal input and assistance from supervisor.

    + Recognizes, initiates, and leads improvement activities, serving as project lead.

    MINIMUM QUALIFICATIONS:

    + High school diploma or equivalent; and

    + Two (2) years of previous work experience in a customer service and administrative support related position with excellent interpersonal skills; or

    + An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position may be considered.

    + Must be able to pass a pre-employment criminal background check.

    Preferred Qualifications:

    + Experience using Workday for purchasing/invoice functions

    + Experience in a building maintenance environment with knowledge of building systems, and the construction process

    KNOWLEDGE, SKILLS, ABILITIES:

    + Advanced knowledge and experience with contracting outside services and projects.

    + Knowledge of the principles and practices associated with planning and budgeting.

    + Basic computer skills and abilities including knowledge of spreadsheet, word processing applications.

    + Advanced ability to compose reports, prepare schedules and compose letters, memorandums, and other report and/or request documents.

    WORKING ENVIRONMENT & PHYSICAL ACTIVITIES:

    + The essential duties for the position are performed indoors in a standard indoor office/reception area environment.

    + Physical activities include the ability to lift, carry, push or pull objects weighing up to 25 pounds with or without assistance.

    + Periods of sitting, standing and walking may be required. Work is primarily performed indoors.
