Job Description
A company in San Diego is looking for a Work Order Management Specialist to join their team. This role focuses on scheduling and coordinating service orders for field technicians across five operating centers: Eastern, Northeast, North Coast, Beach Cities, and Metro (Downtown). The position requires strong organizational skills, attention to detail, and effective communication with field technicians, supervisors, and internal teams such as planning, new service, and customer generation.
Key Responsibilities:
Analyze and efficiently schedule field technician workloads to optimize resource utilization.
Coordinate with internal and external stakeholders to prioritize and complete work orders efficiently, considering resource availability and scheduling constraints.
Take corrective actions to ensure project schedules are met and critical issues are addressed promptly.
Duties and Responsibilities:
Review work orders and make timely decisions to create schedules and assign jobs based on operational priorities.
Evaluate resource and workload issues; monitor progress and take corrective action as needed.
Collaborate with job owners to schedule or reschedule work; assess job readiness for scheduling purposes.
Maintain close working relationships with interdependent teams to ensure smooth operations.
Analyze and maintain reports on work order completion to track adherence to project timelines.
Communicate effectively with stakeholders and leadership to meet scheduling targets.
Assess work forecasts for resource availability and support special projects to achieve performance goals.
Handle phone inquiries from field employees, internal teams, and customers to resolve work order-related issues.
Assist in developing and improving systems and processes for tracking service orders and scheduling commitments.

Skills and Requirements
High school diploma
2+ years of professional experience in an administrative position (Admin, Project Coordinator, etc.)
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent communication skills for interacting with field technicians, supervisors, and internal teams.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with scheduling or work order management systems. SAP experience
