    Arts and Enrichment Coordinator

    (Full Time, Non-Exempt)

    Hiring Range is $51,237 to $61,208 annually based on qualifications, education and experience as it relates to the position.

    Position Summary:

    Under the supervision of the Arts and Enrichment Manager, this position is responsible for providing a variety of operational support to the District's diverse Arts and Enrichment programming. The Arts and Enrichment Coordinator position is responsible for the planning, organizing, scheduling, promotion and supervision of a variety of District classes and instructors. Performs duties in a manner consistent with the stated values of the organization.

    Essential Duties:

    + Coordinates the day-to-day activities of the Arts and Enrichment programming including programs, classes, and events, outreach programming, facilitating arts events, and overseeing the pottery studios at various recreation centers.

    + Hires, trains, schedules, supervises and evaluates assigned staff. Provides or coordinates staff training. Provides constructive and timely performance evaluations. Works with employees to correct deficiencies.

    + Assists with the organization and implementation of dance recitals, annual craft fairs, pottery sales, and theater events.

    + Assists with Art and Enrichment contractual agreements including reserving space, collecting necessary payments and evaluation of program areas.

    + Coordinates various artwork and assists with the commission process at the Recreation Center.

    + Determines staffing needs and creates schedules. Provides backup support as needed. Reviews and approves employee biweekly timesheets. Works with Payroll Department to resolve any pay issues.

    + Purchases and maintains inventory of class supplies and program equipment. May review and approve employee credit card purchases.

    + Prepares the catalog of Arts and Enrichment classes, schedules programs in the facilities, and assigns instructors and aids to classes. Reviews and notifies instructors of class enrollment and scheduling.

    + Consistently maintains a culture of providing excellent customer service and ensures quality across all programs.

    + Evaluates and makes recommendations concerning Arts and Enrichment programs to the Arts and Enrichment Manager.

    + Oversees collection and handling of all monies for programs and activities and ensures that monies are collected and handled according to District policy. Maintains all financial records and performs reporting.

    + Assists with the preparation and monitoring of the budget, managing revenues and expenditures and preparing financial reports. Prepares purchase orders, RFPs, and invoice requests. Collects and records payments/fees for programs and outstanding balances. Prepares short and long-range revenue/expenditure projections, checks revenue streams through POS etc. Develops and recommends program related costs, fees, and locations.

    + Assists with the development, implementation, and tracking of marketing strategies to notify the public of District events. Works with Communications staff to promote community awareness of Arts and Enrichment programs through press releases, news stories, fliers, and meetings with the general public. Evaluates customer satisfaction.

    + Provides a variety of general information to the public regarding Arts and Enrichment activities and programs.

    + Recognizes emergency and dangerous situations and reacts quickly and calmly; administers first aid as needed. Adheres to and trains department staff on their roles of each facility emergency action plan. Completes Accident/Incident reports.

    + Maintains records and makes periodic reports including daily maintenance records, attendance reports, program reports, staff evaluations, incident/accident reports, and inventory logs according to District procedures in a timely manner.

    + Responds tactfully, respectfully and in a timely manner to inquiries and problems in person, through email, phone and mail by providing helpful information and explanations in-line with District policies and procedures. Thoughtfully handles confrontational or stressful interactions.

    + Develops and maintains professional relationships with District employees, vendors, participants and the community by actively engaging with them and responding to their needs and interests.

    + Provides assistance to the Arts and Enrichment division, as needed for special events.

    + Attends and participates in professional group meetings; stays abreast of new trends and innovations in the field of Arts and Enrichment recreational services.

    + Attends and participates in staff meetings, trainings, and orientations.

    + Attends work on a regular, reliable and punctual basis.

    + May be required to work evenings, weekends, and some holidays.

    + Assists with policy enforcement and development of procedure manuals; conducts periodic meetings to provide and gather information, answer questions and respond to complaints and concerns, both internally and externally.

    + Determines community needs by evaluating programs, discipline areas, and activities. Makes recommendations for improvement and future development and implements changes.

    + Observes necessary precautions to assure general public safety; inspect facilities/grounds for safety and maintenance needs by conducting facility walk-throughs on an on-going systematic basis and report maintenance repairs.

    Education and/or Experience:

    + Associate's Degree in a Recreation Management or Cultural Arts program or a closely related field.

    + One (1) year of experience coordinating recreational programming.

    + Previous experience in customer service.

    + Supervisory experience preferred.

    + Any combination of experience, training and education that demonstrates the required knowledge, skills and abilities to perform the essential functions of the position may be considered.

    Licenses, Certifications, and Other Requirements:

    + First Aid/CPR/AED certificates or the ability to obtain within 90 days.

    + Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.

    Necessary Knowledge, Skills and Abilities:

    + General knowledge of the philosophies, objectives, practices, and systems of cultural arts programming and their application.

    + General knowledge of safety and emergency first aid procedures.

    + General knowledge of community relations.

    + The ability to successfully establish and maintain safe environments and perform first aid and/or CPR.

    + General knowledge of budget planning and management.

    + Skills in recruiting, training, supervising, evaluating, motivating employees.

    + Ability to resolve customer complaints and escalated problems.

    + Must have excellent communication skills, both written and oral.

    + Working knowledge of Microsoft Office software including Excel, Word, and Outlook.

    + Must be highly motivated and take direction well.

    + Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.

    + Excellent interpersonal skills with the ability to provide outstanding customer service, establish and maintain effective working relationships, and interact with others in a professional manner.

    + Ability to work a varied schedule which may include some evenings, weekends, and holidays.

    + General knowledge of planning and organization of programming.

    Material and Equipment Used:

    + Regularly uses standard office equipment including a personal computer, phone, printer, and copier.

    + Regularly uses and operates pottery studio equipment.

    + May use and maintain ceramics, printmaking and, stained glass equipment as well as mixed medial tools and supplies.

    + This position may be required to drive a personal and/or District motor vehicle to various District and off-site facilities.

    Working Environment:

    + Primarily works in a busy recreation center and office environment subject to continuous interruptions and background noises.

    + Occasionally works outside subject to variable weather conditions, ecosystems and landscape.

    Physical Requirements:

    + Stand, walk, and sit for long periods of time.

    + Occasional physical work lifting up to 45 pounds.

    + Regularly uses hands and fingers to handle or feel objects, tools or controls.

    + Occasionally must reach with hands and arms; and stoop, kneel, squat, climb, crouch, or crawl.

    + Frequent hand/eye coordination to operate personal computer, office equipment, and esports equipment.

    + Vision for reading, recording and interpreting information. Vision acuity to see close-up and at a distance with the ability to adjust focus allowing a broad field of vision.

    + Speech communication and hearing to maintain clear and effective communication. Must understand and be understood.
