Position Summary:
The Site Coordinator provides a variety of administrative assistance to optimize productivity and client relations. The exact scope of the Site Coordinator’s responsibilities may vary depending on the type of practice, facility, and needs of the clinician they are working with. Operations & Practice Support Leaders will collaboratively establish assignments.
The Site Coordinator conducts his/her duties by adhering to the highest standards of ethical and moral conduct, acts in the best interest of TeamHealth and fully supports TeamHealth’s focus on supporting its clinicians. The Site Coordinator will comply with HIPAA and company policies by managing sensitive and confidential matters, such as patient information, and protecting the security of information, data, and files.
A Site Coordinator may not evaluate a patient, make a medical assessment, or give medical advice. Respective Operations & Practice Support Leaders must determine the skill level and capabilities of each Site Coordinator and consider the risk of liability and quality control when assigning responsibilities.
Qualifications & Education Required:
+ High School Diploma or GED.
+ Minimum of 2 years in healthcare administration or a related role, such as patient navigator, referral coordinator, medical assistant, or medical office administrative staff, preferably in a clinical setting.
+ Strong knowledge of medical terminology, healthcare systems, and medical billing processes, including familiarity with insurance procedures and patient scheduling.
+ Proven experience in patient-facing or customer service roles within a medical or mental health environment, demonstrating excellent interpersonal and communication skills.
+ Practical experience managing compliance with healthcare regulations (e.g., HIPAA) and maintaining confidentiality of patient records.
+ Hands-on experience with Electronic Health Record (EHR) systems and administrative tasks, such as patient admissions, document management, and verifying patient information.
Position Responsibilities:
+ Manages census data in the post-acute facilities, audits for accuracy
+ Assists with scheduling and tracking of regulatory visits
+ Assists with obtaining missing face sheets, upon request
+ Obtains and organizes forms for clinician review & signature (certifications, consults, incident reports, pharmacy recommendations including GDRs)
+ Maintains census in Gehrimed
+ Attaches scanned documents and pictures to Gehrimed
+ Updates patient information in Gehrimed
+ Adds alerts to Gehrimed such as hospice or any category that may be applicable in the future
+ Enter new patients in Gehrimed
+ Performs special projects and other related tasks assigned
+ Prepares rounding list and may gather necessary information for clinician:
+ Patients to be seen
+ Lab/test results
+ Vital Signs, Weights, Accu-checks
+ Medication Administration Record (facility EHR or paper)
