    WHAT IS OPS EMPLOYMENT?

     

    Other Personal Services (OPS) employment is a temporary employer/employee relationship used solely for accomplishing short term or intermittent tasks.

     

    OPS are at-will employees and are subject to actions such as pay changes, changes to work assignment and terminations at the recommendation of the employer.

    DESCRIPTION: This position will provide assistance with maintaining youth records and accurately inputting required information into database for the circuit.

    DUTIES AND RESPONSIBILITIES:

    Completes data entry of youth records for a probation unit to include scanning in case files to the Axiom system.

     

    Reviews requests submitted by agency for records retention schedules to determine the validity of the request and the logic of the presentation.

     

    Recommends methods and procedures for the establishment, inventory, transfer or disposal of records, including data processing applications.

     

    Fulfills records for requests as sent by the Public Records Department.

     

    Maintains a continuous control of retention schedules received from agencies and the status of clearance with appropriate agencies.

     

    Assists agencies in the screening and selecting of records for disposal.

     

    Reviews retention schedules submitted by local government agencies for bureau approval.

     

    Reviews varied phases of organizational structures, procedures, work coordination, work flow, forms and records control.

     

    Provides technical support for probation units located both Manatee and Sarasota Counties.

    KNOWLEDGE, SKILLS AND ABILITIES:

    Knowledge of the principles and techniques of effective communication.

     

    Knowledge of and experience working with Microsoft Office

     

    Knowledge of the methods for organizing and presenting data

     

    Ability to conduct meetings and to make presentations.

     

    Ability to collect, record and analyze data relating to records or operational procedures.

     

    Ability to utilize problem-solving techniques.

     

    Ability to prepare reports.

     

    Ability to make decisions in a timely manner.

     

    Ability to understand and apply applicable rules, regulations, policies and procedures.

     

    Ability to plan, organize and coordinate work assignments.

     

    Ability to communicate effectively.

     

    Ability to establish and maintain effective working relationships with others.

    MINIMUM QUALIFICATIONS:

    A high school diploma or its equivalent is required

     

    Valid driver’s license required

     

    Experience with Records and Database Management

     

    Must have at least one (1) year experience working in a clerical/office environment.

     

    Must be able to lift 20lbs.

    PREFERRED QUALIFICATIONS :

    Preference will be given to candidates who have experience working with confidential files

    When identified on a position description, a valid driver’s license is required. If initially hired with an out-of-state license, the Florida resident must obtain a valid Florida state driver’s license within 30 days of hire. Licenses suspended or revoked for any reason, work permits Business purpose/Employment/education only licenses and some types of restricted licenses are not acceptable. Licenses that have Corrective Lenses Restriction are acceptable, provided the driver wears corrective lenses while operating the vehicle.

     

    Positions that include the transportation of youth while performing any work or work-related functions on behalf of DJJ, require.1 a valid driver’s license, and 2 a three-year acceptable driving record as defined in FDJJ Policy 1920.

     

    Successful candidate must be certified in accordance with the Department direct care training policy and must obtain such certification within 180 days of employment.

     

    For those candidates not currently in the state system as a direct-care worker for DJJ at the time of application, the top-ranking candidate after the interview phase will be required to take and pass an Ergometric’s IMPACT Assessment and Training Test in order to be considered for the direct-care employment opportunity. This test will be used to measure the candidate’s overall suitability for working with juvenile justice involved youth. Test results will be used for a period of six months after initial testing for candidates who reapply during that period for another position for which testing is required.
